                                                                 Job Description – Admissions Specialist    Location: Jacksonville, FL Direct Supervisor: Director of Admissions Job Purpose:  Responsible for assisting callers in obtaining treatment, when appropriate, at our facilities. Takes all incoming calls and chats with the intention of turning them into an admission. Takes control of a call and is able to qualify it in a timely manner, as well as obtain all needed detailed information to verify insurance, job status, and criteria to validate the need for our level of care. Refers callers to their prospective states for state funded facilities to get the help they need, if not appropriate clinically or financially. Completes notes on all worked accounts in multiple systems.  Competencies: Demonstrates knowledge of the facilities mission, vision and values.  Demonstrates an understanding of the disease concept of addiction. Demonstrates strong, accurate decision-making capabilities. Ability to maintain control and respond calmly and appropriately in a crisis situation.  Demonstrates strong follow up with prospective and current clients. Ability to develop professional working relationship with all staff and clients.  Prioritizes required tasks and work responsibilities to ensure optimum quality of care. Knowledgeable of insurance and member benefits. Main Duties and Responsibilities:  Answer incoming calls and build strong rapport with patient and/or family in order to obtain personal and demographic information and answer questions and concerns from the patient or family, with the goal of admitting patient into one of our facilities.  Coordinate with patient and facilities to determine insurance acceptability and financial requirements.  Request and secure finances for treatment through patient’s insurance OOP or self-pay. Complete pre-admission assessments and communicate recommendations to patient or their family. Refer inquiries to other agencies and community resources when not appropriate for facility assistance or admission due to insurance coverage or mental/physical needs.  Provide accurate and ongoing assessment of patient’s status in the admission and utilization process to team members via diligent and timely documentation in EMR. Assists with coordination of transportation for incoming patients to and from the facility and their place of residence.  Obtains all necessary information for creation of client charts such as verification of insurance, demographic information, and job status. Maintains accurate and extremely thorough documentation of all received communication and action taken, including any paperwork received or requested.  Follow up with previous inquirers who have not yet been admitted to a facility. Maintain patient confidentiality at all times. Identify industry-related issues and trends and suggest appropriate action. Adhere to all department and company policies and procedures. Must meet all performance metrics. Performs other duties as assigned Qualifications: A minimum of two (2) years working experience in a substance abuse treatment call center setting. Must have proven record of great customer service and ability to assist multiple people professionally, effectively, and efficiently. Must have a professional demeanor, strong interpersonal skills with excellent written and oral communication. Must be able to function independently and communicate effectively with staff and external contacts. Proficient knowledge of Microsoft Office products (Word, Excel and Outlook) and the ability to navigate EMR systems is required. Education: High School Diploma, GED or equivalent experience.
