JOB DESCRIPTION Title: Chief of Staff to Managing Director Kapston Services Limited, Corporate Office, HyderabadReporting To: Managing Director About Kapston Services Limited Kapston Services Limited is one of India’s leading Integrated Business, Facilities Management, Staffing, and Technical Services organizations, listed on the NSE and trusted across diverse sectors. In addition to its strong B2B operations, Kapston proposes to expand into the B2C e-commerce home services segment, delivering on-demand household services. With a growing footprint, strategic diversification, and a visionary leadership team, Kapston is strengthening its Managing Director’s Office with a highly capable Chief of Staff to support strategic execution and organizational alignment. Role Summary The Chief of Staff will serve as the Managing Director’s strategic partner, advisor, and execution leader, ensuring that organizational priorities are translated into effective action across all business verticals.This role demands a combination of strategic thinking, operational discipline, leadership coordination, and executive communication.You will be the MD’s trusted right hand ensuring clarity, alignment, and continuity in every major initiative and decision. Key Responsibilities A. Strategic Guidance & Executive SupportAdvise and support the MD on key business decisions, priorities, and organizational matters.Translate the MD’s vision and directives into structured plans and actionable outcomes.Provide synthesized insights, summaries, and recommendations to strengthen decision-making. B. Project & Initiative LeadershipOversee high-impact projects across Staffing, Technical Services, Soft Services, Business Development, etc., under the guidance of internal stakeholders.Track progress of strategic initiatives and ensure timely execution across departments.Coordinate with HODs and business leaders to ensure alignment and accountability. C. Operational Efficiency & MD Office OperationsMaintain the efficient, proactive and responsive functioning of the Managing Director’s Office (MDO).Manage internal approvals, communication flow, and daily operational updates to support the MD’s oversight.Strengthen governance systems that ensure order, discipline, and timely follow-through. D. Leadership Coordination & Cross-Functional AlignmentServe as the key liaison between the MD and senior leadership, ensuring smooth communication and clarity of expectations.Facilitate inter-departmental coordination for seamless execution of the MD’s directives.Ensure that all business units work cohesively toward common goals. E. Stakeholder & Board-Level CommunicationRepresent the MD’s office professionally with Chairman, Directors, Investors, Business Partners, and key stakeholders.Manage sensitive communication, maintain confidential records, and uphold the highest standards of professionalism.Ensure all leadership communication is precise, factual, and aligned with organizational priorities. F. Governance, Meetings & Decision SupportOrganize, structure, and support all leadership reviews, board meetings, HOD meetings, and strategic discussions.Prepare agendas, collate inputs, document accurate minutes, and track follow-up actions to closure.Ensure the MD receives complete, relevant, and timely information for effective leadership. G. Business Reporting & Performance UpdatesProvide the MD with daily and periodic updates on:HOD movementsBusiness performanceCollectionsNew salesDeployment updatesOperational disciplineConsolidate information from various departments into structured reports for quick and effective review. H. Financial & Operational SupportFacilitate site salary approvals as per client credit terms, following validations from relevant HODs and CFO.Ensure timely follow-up on collections and financial commitments across business segments.Support operational reviews that influence budgeting, staffing, and deployment decisions. I. Trusted Advisor RoleAct as a dependable advisor to the MD on sensitive issues involving people, operations, or strategy.Anticipate needs, highlight risks, and ensure preparedness in all high-impact matters.Maintain maturity, discretion, and integrity at all times. J. Other ResponsibilitiesCarry out additional strategic or operational duties assigned by the MD in the interest of organizational effectiveness. 4. Qualifications & ExperienceGraduate or Postgraduate degree.10 - 15+ years of experience supporting CXOs or leadership in a strategic coordination role.Experience in staffing, facility management, services, or large multi-business environments preferred, but not mandatory.Experience handling senior stakeholders and organizational-level priorities is essential. 6.
