Position: Coordinator, Academic SystemsLocation: TechnologyPrimary PurposeThe Student Support Specialist is a key position within the district, responsible for providing comprehensive support to elementary school counselors and serving as the district-wide expert on the Skyward Q student information management system in the Academics Department. This role encompasses two primary functions:Assisting counselors with administrative tasks such as scheduling parent meetings, managing student records, and supporting documentation; and Overseeing the configuration, maintenance, and training for academic and counseling-related processes within Skyward Q. By fostering seamless operational processes and ensuring data accuracy, this position contributes to the efficiency, compliance, and effectiveness of the district's academic and counseling services.QualificationsEducation/Certification:Bachelor's degree or higher required; Master's degree preferred.Experience or training in Skyward Q or similar student information systems.Background in education, counseling, or student services preferred.Special Knowledge/SkillsProficiency in student information systems (Skyward Q preferred).Strong organizational, communication, and problem-solving skills.Knowledge of elementary counseling processes, student data management, and master scheduling.Ability to manage confidential information with discretion.Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).Ability to provide user support and training for staff.ExperienceTwo or more years of experience in education, counseling support, or data management preferred.Experience supporting counseling or registrar services desirable.Major Responsibilities And DutiesSystem Administration & ConfigurationAssist in the configuration and maintenance of course catalogs, master schedules, and grading systems.Support annual configuration of Skyward Q to align with all district and campus calendars, schedules, and reporting requirements and timelines.Monitor data accuracy for counseling entries, course assignments, master schedules and grading systems.Data Integrity & MaintenanceMonitor data accuracy for counseling entries, course assignments and grading systems.Assist with data validation processes with counselors and campus registrars for PEIMS.Assist with the configuration and maintenance of reports specific to academics to support campus and district data monitoring needs.User Support & TroubleshootingServe as the district's primary point of contact for Skyward Q support for Academics.Assist in response to user issues and resolve system errors or data conflicts.Coordinate with the Technology Department or Skyward vendor for escalated issues.System Training & DocumentationAssist in the development and delivery of staff training sessions on Skyward Q features and updates in partnership with the TOTs & ITS.Create user guides, quick-reference sheets, and tutorials for teachers, staff, and families in Skyward Q use for Academics.Maintain documentation of system processes and configuration changes.Data and ReportingEnsure accurate setup and maintenance of grade books, schedules, and student records.Generate and validate reports for administrative and compliance purposes.Support PEIMS reporting by ensuring data accuracy and documentation.Partner with Academic/Technology/PEIMS departments to ensure accurate reporting for accountability and compliance.Stay informed on TEA and district data requirements impacting Skyward Q setup and reports.Other DutiesParticipate in district and department meetings as requested.Maintain confidentiality and professionalism in all interactions.Perform other duties as assigned by supervisors.Mental/Physical Demands and Environmental FactorsTools/Equipment Used: Computer and peripherals; standard office and communication equipment.Posture: Prolonged sitting and standing; occasional bending/stooping, pushing/pulling, and twisting.Motion: Frequent keyboarding and use of mouse; moderate walking and reaching.Lifting: Occasional light lifting (up to 25 pounds).Environment: Work primarily in office and campus settings; occasional district-wide travel.Mental Demands: Work with frequent interruptions; maintain emotional control under stress; meet multiple deadlines; communicate effectively (verbal and written).Other InformationApply online, attaching a resume and letter of interest to the application. These references must include your current supervisor.SalaryTechnology Pay Grade 2, 240 Duty DaysMinimum = $51,114Midpoint = $63,893Salary based on experience.The district contributes $400/monthly to the cost of "employee-only" health insurance which is $175/monthly greater than the state required amount of $225/monthly.
