This individual will support the CEO and Executive Team in managing daily administrative, operational, and strategic tasks, while also assisting with cross-departmental coordination and special projects. The ideal candidate will be highly organized, proactive, and resourceful, capable of handling multiple priorities with professionalism and discretion.If this sounds like you, we'd love to have you join us.Job ResponsibilitiesProvide comprehensive administrative and logistical support to the CEO and Executive Team, including calendar management, meeting coordination, travel arrangements, and follow-upsServe as the primary liaison between the CEO and internal/external stakeholders, ensuring professional communication and timely execution of action pointsPrepare high-quality reports, presentations, correspondence, and briefing materials for executive meetings and corporate communicationsSupport strategic discussions by documenting key decisions, maintaining confidentiality, and ensuring follow-up on assigned actionsManage confidential personal and professional matters for the CEO, including appointments, document organization, and coordination of personal logisticsOversee office operations to ensure a professional, organized, and efficient workplace, including supervision of cleanliness, maintenance, and supplies managementDevelop, implement, and maintain office procedures that enhance organizational effectivenessManage end-to-end procurement processes — from identifying needs and sourcing suppliers to negotiating contracts and preparing purchase ordersOversee mail and courier handling, ensuring timely and accurate receipt and dispatch of correspondencePlan and coordinate company participation in conferences and events, including logistics, registrations, travel, and brand-aligned promotional materialsDraft official documents and certificates for events, awards, and recognitions with accuracy and consistencyMaintain and update company documentation on Confluence, ensuring content is current, organized, and easily accessibleConduct research and gather data to support executive decision-making, presentations, and strategic initiativesUndertake special projects and additional tasks assigned by the CEO or Executive Team, ensuring timely, high-quality, and confidential executionRequirementsBachelor's degree in Business Administration, Management, or a related field3+ years of experience as an Executive Assistant or in a similar administrative role supporting senior leadershipFluent in English, both written and verbal; additional languages will be considered an advantageExceptional organizational, time management, and multitasking skillsStrong communication and interpersonal abilities, with a polished professional demeanorProficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and collaboration tools (Confluence, Slack, Google Workspace, etc.)Discretion and confidentiality in handling sensitive informationAbility to work independently, anticipate needs, and take initiative in a fast-paced environmentBenefitsCompetitive salary and performance-based bonusesPaid annual leave days & paid sick leave daysFlexible working hours and a supportive work-life balance culturePaid access to GPT-5 and premium AI tools (including coding assistant, video generation, custom GPTs, and tailored TFN assistant)Team events and company outingsAccess to professional development programs and continuous trainingGrowing company with the potential to take over responsibility and grow personally
