Job Specifications Time: 5:00 PM - 2:00 AM Location: Plaza 145, Civic Center, Phase IV, Bharia Town, Rawalpindi Job Type: Onsite - Full Time Education: Bachelor’s degree in business administration, Management, or a related discipline. Experience: Minimum 3 to 5 years of proven experience as an Executive Secretary, Personal Secretary to senior management. Skill Set: English Communication, Proficiency in Microsoft Office, Manage multiple priorities Residence: Must be located in Rawalpindi/Islamabad Job Description  The Executive Secretary provides high-level administrative and executive support to the President of the organization. This role requires exceptional organizational, communication, and time management skills to ensure seamless coordination across multiple time zones. The incumbent will be responsible for managing executive schedules, travel arrangements, and confidential correspondence, serving as a key liaison between the President and internal as well as external stakeholders. The position requires a proactive, professional, and detail-oriented individual capable of handling sensitive information with utmost confidentiality and discretion while ensuring efficiency in all administrative operations.  Executive Support & Coordination Manage the President’s calendar, appointments, and daily schedule, ensuring optimal time utilization Organize and coordinate meetings, conference calls, and video conferences across global time zones. Prepare agendas, take minutes, and ensure timely follow-up on action items. Draft, review, and manage official correspondence, reports, and presentations with precision and professionalism.  Travel & Logistics Management Arrange international and domestic travel itineraries, including flight bookings, accommodations, visas, and local transportation Ensure all travel plans align with organizational policies and Personal preferences of the President. Manage and reconcile travel expenses and related documentation.  Communication & Liaison Serve as the primary point of contact between the President and internal/external stakeholders. Coordinate information flow, ensuring timely communication between departments and leadership. Handle confidential information with discretion and maintain professional relationships with global teams.  Administrative & Office Support Maintain accurate and organized filing systems (both electronic and physical). Oversee document control, ensuring confidentiality and version accuracy Support senior management in Coordination of office events, meetings, and special projects as required. Prepare data, charts, and reports using Microsoft Excel and PowerPoint.  Confidentiality & Professionalism Maintain the highest standards of integrity and discretion in handling sensitive matters. Exhibit professionalism and diplomacy in all interactions on behalf of the President  Employee Benefits Market Competitive Salaries Promotions & Yearly increments (Based on Performance) EOBI & Gratuity 2 Yearly Bonuses Medical Insurance (Employee, Spouse & Children) Life Insurance Employee Health Care Program (Gym, Kitchen/Mess Services, In house doctor) Employee Social Activity Program (Tours, Office Celebrations, Team collaboration)
