Role: Executive AssistantLocation: Dublin CityContract: Full time: PermanentWorking Model: HybridWe are currently seeking an executive assistant to join our client to support the Partners and wider team.The candidate will be energetic and personable and keen to learn as well as flexible to deal with changing priorities. The candidate will work as part of a team of Executive Assistant's supporting a number of partners.Role responsibilities:Extensive management of multiple diaries – effective management of the Partners daily schedules and planning through prioritisation of appointmentsProfessional management of all correspondences, filtering and prioritising urgent mattersSupporting the operations of the team including maintenance of team planner and ad hoc time reporting for team members who may be unable to report on time systemManagement and reconciliation of monthly expenses for PartnersManage and maintain CRM system for the teamArrange travel for Partners and Directors.Organisation and coordination of internal and external meetingsManage the administration of external events including team off-sites and client lunchesAttend team meetings where appropriate and take minutesPreparation of presentation slides and materialGeneral administration duties including filing, typing and distribution of documentsSome Invoicing / BillingSourcing and ordering stationery and office equipmentManaging various Ad-hoc dutiesSkills and attributes:Excellent organisation and time management skills in a fast-paced environmentStrong Administrative experienceAbility to communicate professionally at all levelsThe ability to multi-task and manage workflows, prioritise and work well under pressureDiscretion and the ability to handle confidential subjects, issues, emails and documentsStrong client focus with excellent oral and written communication skillsFlexible and adaptable to learning/taking on new tasks and responsibilitiesWork on own initiativeStrong Microsoft Office skillsHigh level of commitmentExcellent interpersonal skills
