Job Description

The annual base salary range for this position in California is $90,000 to $110,000 per year. The starting pay for the successful candidate depends on various job-related factors, including but not limited to the candidate’s geographic location, job-related knowledge, skills, experience, education/training, internal value, peer equity, external market demands, and organizational considerations.We seek an experienced Executive Assistant to support the President, Anaheim Ducks Hockey Club. This role oversees and manages the flow and exchange of information, streamlines interactions, and facilitates initiatives for the President, ADHC. The Executive Assistant performs administrative duties requiring confidentiality, discretion, tact, diplomacy, sound judgment, and excellent decision-making skills. Success in this role requires a positive attitude, a strong work ethic, outstanding communication and customer skills, high-level project management skills, and close attention to detail. ResponsibilitiesWork as a team with the President, ADHC to provide administrative, operations, and project/initiative management assistance to support various departments within the organizationCommunicate with members of the NHL League offices and Club teams.Perform clerical and administrative tasks, including drafting letters, spreadsheets, memos, invoices, reports, presentations, and other documents for senior staffAnswer and transfer phone calls, screening when necessaryMaintain filing systems and records as assigned, including digitallyRetrieve information as requested from records, email, minutes, and other related documentsMaintain business calendar for ADHC president collaborating with other supported executives and leadership staffCoordinate and schedule meetings, appointments, travel, and accommodationsProofread legal documents and generate redlines and final formatted documentsReceive and transmit invoices from third parties and assist in tracking department expendituresGather and analyze data housed in internal and external databases as requestedDraft internal and external communication and correspondence on behalf of the President, ADHCCollaborate with other Executive Assistants to successfully coordinate projects and schedulesProvide administrative support to the ADHC General Counsel including subpoena requests and other administrative mattersPrepare agendas and schedules for meetingsPrepare and submit expense reportsParticipate in special projectsMaintain the highest quality service standards working with internal/external partnersMaintain professionalism and strict confidentiality with all materialsPerform other related duties as assignedSkillsBachelor’s degree in a related field preferredMinimum 10 years of experience in an administrative role, preferably supporting a high-level executiveExcellent verbal and written communication skillsExcellent interpersonal and customer service skillsExcellent organizational skills and attention to detailExtremely proficient in Microsoft Office Suite or related software with the ability to learn new or updated softwareBasic understanding of clerical procedures and systems such as recordkeeping and filingAble to work independentlyAble to work nights, weekends and holidays in accordance with game schedule and other team eventsKnowledge, Skills, and ExperienceEducation - Bachelor's DegreeExperience Required - 10+ YearThis position is on-site.
