Job Description

ResponsibilitiesProvide comprehensive administrative support including calendar management, scheduling, travel arrangements (including tax-related travel tracking), expense reporting, and email/task coordination. Support the VP and team with travel bookings and expense claims. Maintain departmental correspondence, records, and filing systems. Take meeting minutes and assist in follow-up actions as needed. Design and prepare high-quality PowerPoint presentations for internal and external meetings, including C-suite level engagements. Create departmental reports, charts, graphs, and tables to support business reviews and decision-making. Monitor departmental budgets and expenditures, raising alerts when necessary. Maintain and update contact lists, group email distributions, and task trackers for the team and Singapore-based staff. Coordinate onboarding activities for new or transferring team members (e.g., laptop setup, mobile phone and AMEX card requests). Assist in organizing conferences, team functions, and dinners. Perform other administrative duties as assigned. RequirementBachelor’s degree in Marketing, Business Administration, or a related field. Minimum 4–5 years of experience in a Team Assistant or Executive Secretary role. Proven ability to manage multiple tasks independently with precision and discretion. Excellent organizational, time management, and communication skills. Professional and tactful in interactions with internal and external stakeholders. Advanced proficiency in Microsoft PowerPoint is essential, with the ability to create visually compelling, executive-ready presentations. Experience drafting email announcements and internal communications for senior leadership. Familiarity with other Microsoft Office tools is a plus.
