As an Executive and Team Assistant, you’ll play a key role in supporting senior leaders and collaborating with talented colleagues. This is an opportunity to grow your career, make an impact, and be part of a supportive, high-performing environment.As an Executive and Team Assistant in the Asset Management team, you provide comprehensive support to the CEO and the broader Sales team. You excel in a fast-paced environment, demonstrate sound judgment in prioritizing tasks, and know when to escalate issues. You work closely with colleagues, fostering a collaborative and positive team culture.Job ResponsibilitiesMaintain complex and detailed diaries for multiple stakeholders across various time zones, ensuring seamless coordination for senior leaders and team membersLiaise with internal and external stakeholders to organize meetings, events, and logistics, ensuring all arrangements are efficient and client-focusedProduce high-quality emails and messages for individuals at all levels of the organization, exercising discretion in sharing informationArrange and coordinate domestic and international travel for the team, adhering to travel and expense policiesProcess invoices and expense claims in a timely manner, ensuring compliance with guidelines and acting as a subject matter expert for policies and proceduresWork cooperatively with other assistants and team members, fostering a positive and collaborative environmentSupport regular activities independently and proactively communicate any issues or delaysLead and coordinate ad hoc projects and team events as requested, ensuring successful execution and attention to detailDemonstrate strong judgment in managing competing priorities, knowing when to escalate urgent matters and how to effectively prioritize tasksRequired Qualifications, Capabilities, And SkillsDiploma in Business Administration, Secretarial Studies, or equivalent qualificationMinimum 5 years’ experience as an Executive Assistant or Team Assistant supporting senior leadersAdvanced proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook)Demonstrated ability to manage complex diaries and coordinate meetings across time zonesProven experience arranging domestic and international travel and processing expense claimsStrong organizational skills with the ability to manage multiple responsibilities and prioritize effectivelyExcellent written and verbal communication skillsHigh level of discretion and judgment, especially when handling confidential informationAbility to work collaboratively in a team environmentReliable, motivated, and flexible approach to workPreferred Qualifications, Capabilities, And SkillsExperience supporting senior leaders in financial services or asset managementTrack record of leading successful team events or ad hoc projectsFamiliarity with travel and expense management systemsAbility to adapt quickly to changing priorities and work independentlyStrong stakeholder management and relationship-building skillsHigh level of emotional intelligence and professionalismExperience working in a fast-paced, deadline-driven environmentABOUT USJ.P.
