This role provides day-to-day support across facilities, health and safety, and front-desk operations, working with the HR team to support facilities and administrative tasks. As the first point of contact for visitors and deliveries, the assistant helps maintain smooth office operations and supports a positive workplace experience for staff, donors, and guests.To be successful, candidates should be flexible, able to problem solve in ad-hoc or novel situations and have an understanding of office operations.Essential Duties & Responsibilities Facilities Support:Serve as the as the focal point for incoming/outgoing mail and deliveries.Monitor parking use and external upkeep of premises.Manage security system and ensure alarms and locks are in place daily. Monitor office and kitchen supply inventory.Monitor office organization, ensuring office spaces are tidy, safe and well maintained.Prepare communications on office closures and reports on incidents.Serve as the focal point of contact for health and safety issues/emergencies.Provide ad-hoc facilities support as required. Administrative Support & Reception:Serve as the first point of contact for donors, volunteers and other visitors. Welcome guests, answer general inquiries, and provide directional support. Support logistical preparations for in-person board meetings and other events. Qualifications & CompetenciesCollege Diploma (2 years) or acceptable combination of equivalent experience. Adaptable to a fast-paced, ad-hoc environment. Excellent communication (written and oral) skills. An ability to exercise good judgment, and tact and maintain confidentiality. Eligible to work in Canada ExperienceMinimum 1 year of experience in a professional work environment. OtherThis is a fully in-person position, with attendance required five days a week. Occasional lifting or movement of light office supplies/equipment may be required. Starting Salary$51,000.00Please note: The posted starting salary is intended to provide potential candidates with a general understanding of the compensation associated with the position.
