Job Description

Position SummaryThe Facilities Coordinator will provide the department with day-to-day operations and facilities related administrative support. Primary ResponsibilitySupport invoice review, approval for non-technical work orders such as pest control, landscaping, snow removal, paving, general repairs, etc.Review and coordinate capital requests submissions, maintain capital request tracker, compile necessary weekly reportingResearch and collect input from multiple internal and external resources related to work orders, real estate, claims environmental reportingTroubleshoot and resolve basic inquiries and requests from internal and external stakeholders related to work ordersSupport process and playbook development and continuous improvementCreate, review and maintain up to date communications to stakeholders including client and tenant portalsSupport data and document management, coordination and reporting between stakeholders (IEPM/CBE/CRESA/PB/TENANT), including drawing filesCMMS (fmPilot) and Lease Administration (Yardi) Platforms supportSupport various facilities and stakeholder initiatives as they ariseKnowledgeBachelor’s degree in Facility Management, Architecture, Engineering, Project Management, Construction Management or similar field, experience and knowledge of Customer and Workplace Experiences, Facilities Management industry best practices and tactical application. Minimum 2-3 years in facilities coordinator role, with multi-site retail, service environmentKnowledge and understanding of work order management and workflowKnowledge of and ability to read architectural and construction drawings Knowledge of lease and ownership agreements, real estate terminology, from both a landlord and tenant perspectiveSkills and AbilitiesProficient in CMMS Systems, Microsoft Excel, Word, PowerPoint and Outlook Ability in preparing draft communications and presentations Organizational skills with a strong inquisitive mindsetResourceful and creative problem solverWillingness to support and work within processes and proceduresAbility to collaborate, build and maintain trustful relationships, gain understanding of stakeholder needsSelf-assured, motivated, professional with ability to navigate an environment with multiple competing priorities and stakeholdersPossess integrity in actions, behaviors and decisions, doing the right thing with the right intentionsStrong team member, culture ambassador
