Job Title: Headquarters’ Administration AssistantLocation: Parma, ItalyDepartment: HQ AdministrationReports to: Executive DirectorPosition Type: Full-TimePERSONAL PROFILEHigh School Diploma. Courses and masters related to the administration topic.Fluent English, spoken and written (minimum C1).Excellent knowledge of Office 365 tools (in particular Excel).Analytical mindset.Extremely well organised, constructive and proactive attitude with a strong motivation to be part of a team.PURPOSE OF THIS ROLEThe purpose of this role is to support the Executive Director, ensuring the correct execution of the following:Organizing the logistics for in-person meetings for our Working Groups and CommitteesSupport ERA Council Members with travel arrangementsSupporting other staff members with travel and hotel bookingsPrivacy ComplianceOther administrative tasksKEY ACCOUNTABILITIESBeing part of the general administration implies to handle several tasks, among which:Travel, hotel and transfers coordination Support the Executive Director, Council Members and staff with administrative tasksCorrespondence linked to all the above activitiesFormulates proposals to improve the quality and timing of activities. If necessary, he/she involves the interested parties to assess the impact on the entire cycleIMPORTANT NOTESMost of the activities and correspondence are in English.
