Tokyo, JapanJob Family GroupHuman Resources JobsWorker TypeRegularPosting Start DateOctober 2, 2025Business UnitHuman ResourcesExperience LevelExperienced ProfessionalsJob DescriptionPrimary Purpose:This role is an exciting opportunity for you to utilize your payroll administrative experience, stakeholder engagement and end to end process thinking capabilities, while developing a wider understanding of policy and process delivery, driven by legislative requirements impacting pay delivery and compliance.Since Japan HR Team is lean, you are also expected to work together as team and engage as supporting role for wider range of HR activities including recruitment and organizational development.You will be closely collaborating with focal in Policy & Benefit Advisor, ERIR Advisor, HR Advisor, HR Operations, Finance, Payroll Accounting, Pensions, Share Plans, and Employment Tax.Due to Franchise Recruiting Country Model, Japan has no recruitment focal and activity is spread across local HR Team members without engagement of Sourcing hub.Principal AccountabilitiesMonthly/Annual processCoordinate with external payroll vendors and internal stakeholders to ensure data accuracy and timely payroll processing.Complete reconciliation of source payroll data and prepare files for payroll processing.Troubleshoots payroll processing errors, identifies issues and recommends solutions to improve overall service delivery.Focal point for local attendance system and data processPrepare and submit statutory reports (e.g., income tax, social insurance, labor insurance, annual tax report)Reconcile payroll data with accounting and finance systems.Focal point for DC related process; registration, changes and monthly payments.Liaise with HR in Country, Employees, and Business Line Managers, Finance Operation team as required in order to resolve process and payroll issues.Reconcile and allocate the details for HR invoice.Focal point for document control of local payroll, tax, remuneration and benefits.Liaise with expat team to process and report expat local tax payment.General/othersEnsure compliance with Japanese labor laws, tax, and social insurance regulations.Ensure high quality data management and effective documentation.Support audits and internal controls related to payroll processes.Contribute to best practice sharing within the team, striving for continual improvement in service delivery, and participating in improvement initiatives for payroll, process & systems, data management & utilization.Drive knowledge management through ensuring job aids, manuals, and process documentation are of high quality and updated as required. Support team member in the preparation of statutory reports by collecting, validating, and analyzing relevant HR and payroll data to ensure compliance with regulatory requirements.Contribute to organizational development initiatives by collaborating with HR team members especially in area leveraging data-driven insights and analytical tools to inform decision-making.Prepare employment certificate for employees upon requests.Partners with line managers in executing local external recruitment and internal OR search.Support campus recruitment activities with supervision of HR ManagerDimensionsReports to Country HR Manager, an individual contributorFTE Scope: 200 employees for Shell in JapanRequirementsStrong understanding of Japanese labor laws, tax regulations, and social insurance systems.Experience in HR systems and processes particularly payroll.Deep knowledge of Payroll legislation & reporting rulesHR administrative/operational experienceAnalytical and problem-solving skillsDetail oriented & used to work under tight deadlines with significant amount of output required.Stakeholder management skills.Demonstrates strong sense for HR Service Excellence and a strong team player.Ability to ensure confidentiality and protection of employee data based on Data Privacy legislations.Ability to independently work on complex process and payroll cases with minimal supervisionStrong IT skillsRequirement for Japanese.
