Please join us in striving to please our clients, in aiming to be the best you can be, and in making our Company a success.Job SummaryThe HR & Office Manager is a strategic, hands-on role reporting directly to the Chief Financial Officer (CFO). This position will be the primary driver of all HR initiatives across the Company’s Canadian and US entities, while also overseeing day-to-day office operations and coordinating with our IT partners. The ideal candidate possesses excellent people skills, deep HR expertise, strong judgment, and efficient time management. You are a team player, ready to take on new challenges, and excel at utilizing your problem-solving skills to foster a positive and productive work environment.Key ResponsibilitiesHuman Resources Management & Payroll Compensation & Benefits Administration:Process and administer payroll for Canada and the USA, including payroll reconciliations.Manage and administer the employee benefits plan, employee share savings plan, rewards program, and vacation tracker.Policy & Compliance:Develop, review, and continuously update the Human Resources Manual to ensure compliance with applicable provincial, state and federal employment laws.Develop and maintain other key manuals (ie/ Health and Safety).Serve as a resource for employees and managers on HR policies, procedures, and legal requirements.Talent Acquisition & Offboarding:Lead the full recruitment cycle (sourcing, interviewing, background checks, hiring) for Bellwether and advisor offices.Manage smooth onboarding and offboarding for new and departing employees.Conduct Predictive Index assessments and lead exit interviews to identify opportunities for organizational improvements.Performance & Development:Oversee and continually improve the performance review program, ensuring consistency and meaningful feedback.Develop, implement, and maintain a robust strategy for career development and succession planning.Work with the CFO to regularly review compensation to ensure the Company remains competitive.Create, modify, and manage comprehensive training and development programs for staff at all levels.Address and resolve employee relations issues, providing coaching and training to managers as needed.Office Operations & ITTechnology & IT Coordination:Coordinate with our third-party IT services provider on all onboarding/offboarding requirements (ie/ laptops, email/software accounts, door access, etc.).Liaise between Bellwether and IT to ensure timely responses to IT tickets, tracking recurring issues and enforcing SLAs.Provide input into IT and cybersecurity strategy as it relates to employee support, confidential information and data access.Administrative & Facilities Coordination:Manage office supplies, procurement, and coordination of volume discounts across Bellwether offices.Liaise with the building manager for any facility requirements, coordinating ongoing maintenance and office cleanliness.Accounting & Finance Support:Assist the CFO with government reporting requirements.Process various transactions in Quickbooks Online, including expense reports.Support other ad hoc finance and administrative requests as needed.QualificationsDeep working knowledge of Canadian employment law and best practices in Human Resources.Experience with US employment law is an asset.Proven experience in a full-cycle HR management role.Post-secondary education in Human Resources, Business, or a related field is preferred. HR designation (CHRP/CHRL/CPHR) is highly preferred.Collaborative, with the ability to work effectively in both team-based and independent settings.Strong communication, judgment, and problem-solving skills, with a high degree of discretion and professionalism.Working conditionsFirst 6 months: On-site in our Oakville office 5 days per week.Thereafter: Hybrid work model, with a minimum 3 days per week in the office.
