CITY INNOVATION PROGRAM - INFORMATION AND KNOWLEDGE MANAGERDemos HelsinkiDemos Helsinki is a globally operating, non-profit and independent think tank. We are a community of motivated experts dedicated to instigating and sustaining essential transitions to a fair, sustainable and joyful future. We believe that change can only happen together. That is why we carry out consultative and research projects together with hundreds of partners, such as private international foundations, UN organisations, the European Commission and also companies. Over the past 20 years, we have grown into an over 80-person organisation working on more than 100 projects per year with a forecasted revenue of over 6 M€.About the roleWe are looking for an Information and Knowledge manager with an interest and acumen in city innovation to strengthen the systems and knowledge management behind an impactful multi-country European city programme (funded by private foundation).This role sits at the heart of programme delivery, ensuring that information flows are clear and reliable, reporting meets the highest standards, communication policy compliance is complete, and knowledge is mobilized into meaningful learning and action.You will oversee structured information management across partners, maintain and refine dashboards and databases, and lead high-quality reporting in close coordination with regional teams. A central part of the role is turning qualitative and quantitative data into clear, actionable insights, while safeguarding compliance with communication requirements and supporting well-designed learning events and workshops. This role will also contribute to other information, data and knowledge management across projects at Demos Helsinki.This position is well suited to someone who combines analytical rigour with systems thinking, is highly organised, responsive and detail-oriented, and enjoys bringing clarity to complexity across multiple stakeholders and workstreams. Your work will be carried out in English, in which we expect native-level fluency. Other language skills are not required but may be an advantage when collaborating with regional partners in Nordics, Spain, Germany and Adriatics.Examples of what the role will look like in practice:Information and Knowledge ManagementManaging and analysing structured information and documentation flows across European partners, ensuring clarity and timeliness.Owning and continuously improving the program dashboard and databases (Excel), ensuring data accuracy and usability for tracking cities’ impact journeys.Developing and refining reporting and knowledge management systems as needs evolve.Synthesizing qualitative and quantitative data into actionable insights on impact, learnings, patterns, and related themes.Spotting cross-city patterns and proactively strengthening data, reporting, and learning systems.Maintaining oversight of program work packages and activity tracking, ensuring visibility into progress and upcoming milestones.ReportingLeading high-quality standard and ad hoc donor reporting, ensuring accuracy and alignment with donor requirements.Maintaining up-to-date donor dashboards in coordination with regional partners.Programme Communication Compliance (not content creation)Ensuring programme-wide compliance with donor communication policies and acknowledgement requirements, coordinating closely with regional partners across city, regional and programme levels.Providing guidance to partners on communication standards, helping them navigate risks and leverage communication opportunities.Monitoring alignment between programme messaging, reporting outputs and donor expectations, proactively addressing inconsistencies where needed.Event and Workshop DesignDesigning and organising key programme events and workshops (in-person and online), ensuring clarity of objectives, strong facilitation design, and high-quality documentation of outcomes.Supporting the creation of workshop materials, presentations and learning artefacts.OtherContributing to identifying and preparing new funding opportunities.What we expect from you:5+ years’ of work experience in public innovation within international, mission-driven environments.Strong experience in donor reporting (standard and ad hoc) and compliance management.Advanced Excel skills, including building and maintaining dashboards and tracking systems.Strong experience managing documentation systems and programme data infrastructure.Exceptional ability to synthesise data into strategic insights and practical recommendations.Some experience designing and delivering high quality workshops and events.Strong project management capabilities and ability to coordinate across partners.IT-savvy, with curiosity for AI and digital tools that enhance efficiency and learning.Experience contributing to funding proposals or grant development.Based in the European Union.Excellent written and spoken English (ideally native-level fluency).Traits that likely indicate successImpact-driven and collaborative, with strong attention to detail and systems thinking.Comfortable navigating complexity and with a knack for creating clarity out of complexity and extensive data.Able to move fluidly between strategic analysis and deeply operational execution.Proactive in identifying improvements to programme processes, data systems and learning structures.Strong interest in leveraging data analytics for synthesis across other areas, including support functions, organizational strategy following our impact model, and communications.Practicalities for the position:Fixed-term contract through the end of December 2028; full-time position (37,5 hours per week) with flexible working hours.Location: Our office is located in central Helsinki. However, you are free to work mostly or fully remotely from Finland or elsewhere in the European Union.Salary: 3640 or 4160 €/month (gross) when working from Finland. Final salary is determined based on the level of responsibility in the role and your demonstrated experience in comparable responsibilities, in line with our responsibility category model.
