Logistics Specialist

Job PurposeThe Logistics Specialist is responsible for managing and coordinating the movement of rental equipment across yards, customer sites, and maintenance locations. The role ensures timely delivery, collection, and availability of machines while optimizing fleet utilization, minimizing transportation costs, and supporting both operations and sales functions.Key ResponsibilitiesFleet & Equipment MovementPlan and coordinate daily transportation of rental equipment (AWP, Earthmoving, Scaffolding, etc.)Schedule deliveries, replacements, relocations, and collections efficientlyCoordinate with transporters, drivers, and yard teams to ensure on-time movementsLogistics & Route PlanningOptimize vehicle routing and load planning to reduce idle time and logistics costsMonitor transportation KPIs such as on-time delivery rate and turnaround timeTrack GPS and fleet movement for better planning and reportingCross-Department CoordinationWork closely with Sales, Service, and Operations teams for scheduling and job planningCommunicate equipment availability and movement status clearly across teamsSupport Sales in urgent deliveries and customer commitmentsDocumentation & CompliancePrepare and maintain logistic documents (delivery notes, collection reports, gate passes, movement permits)Ensure compliance with local transport regulations and company SOPsMaintain equipment movement tracker and update ERP / system recordsVendor & Transporter ManagementCoordinate with third-party transporters and monitor their performanceNegotiate transport rates and maintain cost controlTrack transporter invoices and reconcile movements with billingInventory & Yard CoordinationMonitor yard stock of available, under-maintenance, and rented equipmentCoordinate internal transfers between branches for demand balancingSupport asset team in physical audits of equipmentReporting & OptimizationGenerate weekly/monthly reports on equipment movements, transporter cost, and utilizationIdentify gaps and suggest process improvements for logistics efficiencySupport management with logistics planning for new projects or peak seasonKey Skills & CompetenciesKnowledge of equipment rental operations (AWP / Earthmoving / Heavy Equipment)Strong coordination and communication skillsPlanning & scheduling abilitiesCost control and negotiation skillsERP / Logistics tracking system experienceQualification & Experience3–6 years of experience in logistics within rental or heavy equipment industryExperience handling inter-branch equipment movements across UAE / GCC
