The clinic values teamwork, accountability, and accurate financial operations to ensure children receive uninterrupted access to care.Biller VAs are essential partners in maintaining smooth insurance operations and supporting the clinic’s mission.🎯 Position OverviewWe are seeking a Medical Biller Virtual Assistant who is detail-oriented, proactive, and highly skilled in claims management. You will handle end-to-end billing functions including clean claim submission, denial management, payment posting, reconciliation, and payer follow-ups.This position requires consistent communication, accuracy, adherence to clinic protocols, and full-time availability.📌 Scope of Work & Responsibilities🗓️ Daily ResponsibilitiesSubmit clean claims within 24 hours of service.Review rejected and denied claims; correct and reprocess within 48 hours.Verify eligibility and insurance benefits via payer portals (Sunshine, Cigna, Tricare, UHC, CMS, etc.).Manage insurance authorizations and monitor expiration dates.Post payments, adjustments, and match deposits in QuickBooks Online.Review, interpret, and reconcile EOBs.Maintain spreadsheets, trackers, and billing logs in Google Workspace.Communicate with the team via GroupMe with response times <10 minutes.Attend daily and weekly billing/finance meetings (mandatory).💻 Virtual Office ResponsibilitiesMust remain logged into Little Tesla’s Virtual Office Room (Zoom/Meet) with screen visible at all times.Must attend:Daily 11:00 AM Finance Check-In with Finance Manager and Office ManagerWeekly Revenue Meeting with the OwnerReport daily production numbers and issues immediately.📊 KPIs & Performance MetricsClean Claim Submission Rate: ≥ 98%Denial Rate: ≤ 5%Claim Submission Time: Within 24 hoursAR >30 Days: ≤ 15%Payment Posting Accuracy: 100%Weekly Reports: Every Friday by 3 PM ESTRejection Rework Time: ≤ 48 hoursDeposit Reconciliation Accuracy: 100%Communication Response Time: <10 minutes🧠 Experience RequirementsNo medical degree required.Prior experience in medical billing or virtual healthcare support highly preferred.Familiarity with ABA, OT, SLP, or PT billing is a plus.No medical license required (RN, PT, etc. not needed).🖥️ Technical RequirementsReliable laptop or desktop computer.High-speed internet (minimum 10 Mbps).Noise-canceling headset.Webcam for required daily/weekly meetings.Quiet, HIPAA-compliant workspace.Ability to use Little Tesla–assigned accounts (Gmail, Drive, clearinghouse).🧰 Required Tools & SystemsTheraBill or Office Ally (EHR/Billing Systems)Availity / Ally (Clearinghouse)QuickBooks Online (Reconciliation)Google Workspace (Docs, Sheets, Gmail, Drive)GroupMe (Team communication)🏆 Required SkillsStrong understanding of CPT/HCPCS codes (ABA, OT, SLP, PT)Experience reading EOBs and resolving denialsKnowledge of insurance authorizations & payer portalsAdvanced Excel & data-tracking skillsClear English communication (written & verbal)HIPAA-compliant work habits✔️ Basic RequirementsMust speak and write clear, professional English.Must have relevant work experience.Must be able to submit NBI or Local Police Clearance upon request.Must be available for video meetings with camera on.Must not have other clients during scheduled work hours.🎥 Additional RequirementApplicants must submit a short video introduction as part of the application process.Provide your most recent CV
