Job DescriptionResponsible for effective and efficient execution of administrative work and ensure effective operations of the Office of the Assistant Dean for Medical Education, including but not limited to being the College Administrator of the National Board of Medical Examiners; assisting the Office of Medical Education with HAAD and FIE exams. Organizing and administering all the logistics related to these events to ensure they run smoothly, successfully and effectively is crucial for CMHS.Minimum QualificationSpecialized Tasks 1. Administrative Support to the Office of the Assistant Dean for Medical Education - Answer the Office’s enquiries - Arrange to complete paperwork/signatures related to the office. - Invite external examiners to conduct CMHS final exams, and obtain the required UAEU Administration’s approval. - Arrange for ADME’s meetings and take minutes. 2. Rapporteur of the Student Promotion Committee: - Prepare the SPC calendar in liaison with the Assessment Officer and Course Directors. - Send the proper notification and documents related to the SPC meetings - Take the minutes and circulate all the related documents. 3. College Administrator of the National Board of Medical Examiners (NBME – USA) - Collect all the NBME exam requests on a regular basis - Collect the IFOM exam requests - Order the exams individually. - Maintain the “NBME Account” to make sure that all details are updated regularly, adding/amending the students’ rosters, venue confirmation, exam payments, etc. - Communicate with the Finance Department and follow up the fee payment on time. - Maintain the NBME archives. - Arranging the students' attendance sheets according to proper groupings. - Attend all the exams along with the Chief Executive Proctor, to start the exam, and report any incidents (if any) as per the NBME protocols. - Follow up with the concerned departments during the academic year. 4. CMHS Coordinator of the “UAEU Complaints & Suggestions System” Access the UAEU Complaints & Suggestions system and receive all complaints assigned to the College, liaising with the concerned individual or department to solve the problem and provide any feedback, if needed. All complaints should be dealt with and solved within a maximum of five working days. 5. Provide administrative support to the Dean’s Office Assist the Dean’s Office with the preparation of correspondence –when needed-. Other assignments as instructed by the Vice Dean. 6. Assist the Office of the Students Affairs in processing the External Elective applications (abroad) of undergraduate students, such as renewal of the Malpractice Insurance Policy in Canada, issuing the proof of travel insurance, etc… 7. Assist the Office of the Students Affairs in the Admission process. 8. HAAD Exams Assist the Medical Education Department in registering candidates and invigilating once needed, whether due to shortage or absence of staff. 9. FIE Exam Assist the Medical Education Department in invigilating during the FIE exams General Tasks Sets up and administers office systems and procedures. Organises and attends various meetings related to academic as well as administrative matters and the Minutes thereof. Types and/or processes text and information such as reports, letters and memoranda from audio transcription or handwritten documents and handles independent correspondence wherever appropriate. Reviews, routes, answers and monitors follow-up on correspondence. Assist with required administrative reports. Gathers, compiles and reports relevant information. Provide appropriate liaison staff, faculty, students, the university and other external agencies and organisations. Screens and routes incoming calls and correspondence to the concerned people and takes necessary action. Organizes and maintains files, correspondence and other records.
