Help us make a real impact on shaping a better, more sustainable future.About the roleWe're looking for an Office Manager to help keep our fast-growing Japan team humming along smoothly.As our business expands in size, scope, and across borders, we need someone super organised, proactive, and full of positive energy to make sure everything behind the scenes runs like a dream. This is a great opportunity to play a hands-on role in Kraken’s growth, help move us toward net zero, and support the energy transition in Japan.📍 This is an office-based role - you’ll need to be able to commute to our Tokyo office 4 days a week.What you’ll doBe a primary Japan contact for our executives and team as well as clients and partners. Support travel and accommodation arrangements and queriesHelp to organise, host, and run events both internally and externally including for clients and prospective clientsHelp manage and coordinate internal office catering, including large-scale team lunches and meeting requestsPlan, promote and execute internal events - whether they’re local, culturally specific celebrations or part of wider Kraken global initiativesManage internal and external communication across email and slackDevelop and maintain our health and safety standardsYou’ll be responsible for preparing for new starters - including managing their equipment (whether they’re joining remotely or in-office), shipping gear as needed, and keeping track of onsite tech inventory and stock levelsManaging relationships with third parties such as cleaners, suppliers and serviced building managementManaging our stock of branded merchandise, both office levels and for external eventsCreate and maintain clear, helpful office-related documentation and guides - including keeping our Notion pages up to dateYou’ll have the opportunity to help out in other areas of the business (marketing, recruitment, payroll & accounting)What you'll need🧩 A knack for juggling stakeholders - you're confident working with all kinds of people, both inside and outside the company🛠️ Experience with health & safety processes - and bonus points if you hold the Japan National Class 2 Health & Safety Supervisor certification!🎉 A love for planning and hosting events - whether it’s a team offsite or a last-minute lunch run, you make it happen📅 An organised approach to getting things done fast - you're the kind of person who can bring the calm to the chaos and knows how to juggle multiple priorities🚀 The ability to wear multiple hats - you can handle lots of moving parts in a fast-paced, ever-changing environment🗣️ Fluency in English and native-level Japanese - we are a global company so you should be comfortable switching between both without missing a beatBuilder mentality - designed for someone who thrives on autonomy.
