Bauer Media Outdoor UK is one of the leading Out of Home media owners, with more than 33,000 advertising sites in our portfolio. Our talented team of over 650 people work in 14 locations across the country, creating and delivering some of the most memorable advertising campaigns in the UK. We are now looking to recruit an Office & People Support Coordinator to sit within our Bauer Media Technic team, based in Bolton, Lancashire.Bauer Media Outdoor Technic are a world leader in outdoor digital signage solutions and delivering digital intelligence. A total service is provided across the UK and Europe from hardware development and manufacturing to customer back-end services.About The RoleThis role sits within the HR & People function, the purpose is to ensure the smooth running of the daily office operations including facilities, health and safety administration, event / training planning and staff celebrations & recognition, whilst also being a contact for people related matters and handling HR and training documentation and administration.This role is a central focal point for administrative efficiency, reception / visitor management responsibilities and ensuring a bridge between administration and HR/People requirements as well as supporting a positive company cultureHR / People SupportPoint of contact for HR queries, upkeep of office, HR and training related documents both electronically and manually, filing and ensuring compliance to meet our audit standardsAssistance in new starter onboarding, benefits schemes administration, probation and performance, development reviews and upkeep of the HR related systems and support along with KPI data reportingArrangement of staff recognition and milestone celebrationsOpportunity to assist in people-related projects and objective deliverables over timeAdhering to stated policies and procedures relating to quality management, health & safety and environmentalOffice & FacilitiesResponsibilities including visitor management, first point of contact, hospitality management and related security responsibilities including management of card passes via the Net2 systemOffice provisions upkeep including fruit, ad-hoc staff lunches or snack provisionsEnsure the general upkeep of the office and communal areas including noticeboards and kitchen facilitiesBooking office repairs according to contracts, maintenance, site cleans along with arrangement of new desk area layout and equipment for new staff (supporting the onboarding process)Assistance with time and attendance card data entry supporting the monthly payroll recordingH&S AdministrationCoordinating meetings with the H&S contact, administrative support with policy updates and circulation and coordination of the scheduled H&S meetings. Arrangement of training and assistance with the online H&S training toolAssistance with the collation of monthly KPI data in the areas of H&S and / EnvironmentalEvent Planning Organisation of internal and external company events, staff parties, lunches, internal and external events, meetings and webinars.
