Position OverviewWe are seeking a highly organized and detail-oriented Operations & Administrative Assistant to support our Director of Operations and Brand Team. This on-site role is vital in keeping our day-to-day operations running smoothly, while assisting brokers with questions and providing general office and administrative support.This position is part-time to start (Monday to Friday, on-site in our Innisfail office), with the potential to grow as our operations continue to expand.Key ResponsibilitiesGreet visitors, answer incoming calls, and manage multiple shared inboxes with professionalism.Support the Director of Operations with licensing administration, agent onboarding, meeting preparation, and general office coordination.Handle mail, courier services, filing, scanning, shredding, and document management.Draft internal communication pieces and schedule pre-written marketing communications for agents.Assist with event planning, RSVP tracking, and maintain inventory for client gifts, trade show materials, and office supplies.Post pre-designed social media content and provide light marketing assistance.Maintain organized digital files and manage day-to-day functions within Microsoft 365 (Outlook, Teams, SharePoint, Excel, Word).Provide basic troubleshooting for office systems and equipment.Adapt to shifting priorities, multitask effectively, and take initiative to ensure efficient operations.This list is not exhaustive; additional duties may be assigned as the role develops.Qualifications & SkillsExceptional attention to detail and organizational skills.Strong multitasking ability and comfort pivoting between priorities.Friendly, professional, and approachable with excellent communication skills.Proficiency in Microsoft 365, advanced Excel skills, and experience with Mac are strong assets.Tech-savvy and able to troubleshoot minor system issues.A self-starter who learns quickly, takes initiative, and follows through.Dependable, adaptable, and committed to team success.Why Join UsThis role is integral to the success of our brokerage, providing operational support across multiple provinces.
