Job Description

The RoleAs an Operations Manager, you will report to the Director of a Boutique Wills & Estates Practice. Duties include -Work flow management for the administration teamMaking sure Safe Custody facility is maintained properlyLeave roster & work flow & recordingWork flow for the lawyer's initial appointmentsLiaison with suppliers and negotiating arrangementsSpot checking for quality controlLeases, licensing, practising certificates and insurancesRegional visit program rosteringRecruitment (of non-lawyer team members)RetentionPerformance and Salary ReviewsLawyer budget meetings (fortnightly)Lawyer bonus communication, calculation, monitoringKPI managementTraining & developmentTeam buildingOn boarding/off boardingDeveloping checklists & keeping HR manual updatedAttending lawyer weekly meetings & implementing key outcomesBehaviour monitoring & disciplinary issues (including performance management if required)Meetings with senior management to discuss key trends (fortnightly)Liaison with IT providerClient & Safe Custody client complaintsMonitor and assist with obtaining Google reviewsEncourage and coordinate lawyers contribution of articles on social media platforms; and Firm's websiteLinkedIn/Facebook postsWebsite updates (liaison with our web developer)Referral reportsAssisting with preparation of marketing material (PowerPoint, brochures etc…)Assistance with implementation of bigger projects that happen from time to time.Creating and updating forms / templates / documents under supervisionLiaise with Divisional Head, General Manager and Finance Manager around compliance issuesThis position is either 4 or 5 days a week. They are also flexible with hours. Your experience You will need to have a minimum of 4 years Operations Management or Practice Management experience. Law Firm experience or professional services experience is also essential.The Law Firm / Salary Boutique specialist law firm based at Toowong. Great procedures and systems. Total staff of 24. Professional and corporate environment. Salary between $120,000 - $150,000 plus Super, dependent upon experience. They also offer a performance bonus.
