Job Description

Job TitleProject CoordinatorRemuneration Package: AED 6,000-7,000 per month plus other benefits. Key Responsibilities:1. Project Planning and CoordinationSupport the planning, scheduling, and coordination of training programs, workshops, and learning initiatives.Assist in preparing project charters, work plans, and timelines in line with L&D project objectives.Coordinate with internal teams, trainers, and clients to ensure smooth execution of learning projects.Track deliverables, deadlines, and milestones using project management tools (e.g., Excel trackers, Smartsheet, or MS Project).2. Trainer and Participant ManagementCoordinate with trainers/facilitators regarding session materials, logistics, and schedules.Manage participant registration, communication, and attendance tracking.Support in the evaluation process (pre- and post-assessments, surveys, and feedback forms).Ensure certificates, materials, and feedback summaries are delivered on time.3. Learning Material and Content SupportAssist in the preparation, formatting, and branding of training materials (PPTs, participant guides, handouts).Liaise with instructional designers and subject matter experts to ensure content accuracy and alignment with objectives.Maintain an updated repository of training resources, templates, and facilitator toolkits.4. Reporting and DocumentationPrepare weekly progress reports, attendance summaries, and feedback dashboards.Support the preparation of post-program evaluation reports and KPIs (e.g., satisfaction scores, learning improvement rates).Document lessons learned and maintain version control of project files.5. Communication and Stakeholder LiaisonServe as the point of contact between the L&D project team, trainers, and clients.Draft and send official communications (e.g., invitations, confirmations, reminders).Coordinate with suppliers for venues, catering, and logistics if applicable.Support client meetings by preparing minutes, summaries, and follow-up actions.6. Quality Assurance and Continuous ImprovementMonitor program quality through participant feedback and facilitator evaluations.Identify improvement areas and suggest ways to enhance learning impact and delivery efficiency.Ensure all activities comply with organizational standards, branding, and quality requirements.7. Administrative and Logistical SupportHandle logistics for training sessions — room setup, equipment, printing materials, and refreshments.Manage trainer travel arrangements and reimbursements.Maintain accurate records for budgeting, supplier payments, and purchase requests.Core Skills and CompetenciesStrong organization and multitasking skills.Excellent written and verbal communication.High attention to detail and deadline orientation.Proficiency in MS Office (Excel, PowerPoint, Word) and project management tools.Knowledge of learning platforms (e.g., LMS, SurveyMonkey, Mentimeter, Kahoot) is a plus.Team player with a proactive, service-oriented mindset.
