We are looking for a highly organized, detail-oriented professional who can help support our daily operations. This role is ideal for someone who thrives in a dynamic environment, communicates clearly, and enjoys keeping multiple moving pieces running smoothly.Position OverviewThis role supports both administrative operations and property management duties. You will be the go-to person in the office for documentation, listings, tenant coordination, and general admin flow. Because we rely on consistent communication and teamwork, this position requires being in the office five days a week.Key ResponsibilitiesHandle property management tasks: tenant communication, scheduling showings, coordinating maintenance, and rental listing managementManage and maintain property listings, client databases, and transaction files with accuracy and confidentialitySupport day-to-day administrative operations including email management, calendar coordination, and file organizationSupport the team with scheduling bi-weekly meetings, open houses, and client meetingsPrepare and maintain listings on MLS, Brokerage Bay, and other real estate platformsDraft, send, and track documents via DocuSignCreate marketing materials (flyers, ads, online promotions) using Canva and/or Adobe toolsMaintain Excel spreadsheets, reports, and accounting records (invoicing, rent tracking, expenses)Ensure accuracy, compliance, and organized documentationCommunicate professionally with clients, tenants, vendors, and prospectsQualificationsExperience in real estate administration or property managementStrong computer skills including proficiency with Microsoft Office (Word, Excel), Google Workspace (Docs, Sheets) and accounting support skillsComfortable using MLS, Brokerage Bay, and related real estate systemsExperience with DocuSign and digital document handlingCanva and Adobe design experienceExcellent written and verbal communication skillsHigh attention to detail, strong organization, and the ability to juggle multiple prioritiesProactive, reliable, and able to work independentlyExceptional customer service skills and professional phone etiquetteReal estate license is a bonus but not requiredWork RequirementsMust be available in-office, Monday to Friday, 9:00 AM–5:00 PMLocated in or able to commute to downtown TorontoHow to ApplyPlease submit your resume and a short introduction outlining your relevant experience and why you would be a great fit for this role.
