Regional Operations ManagerThe Regional Operations Manager (ROM) serves as the operational leader for their assigned MeBe Learning Center, ensuring seamless day-to-day business operations, efficient staffing, exceptional client experiences, adherence to company policies and compliance standards and retention of staff. Working closely with the Senior Regional Director, Clinical Leadership, and cross-functional teams, the ROM drives performance, client satisfaction, and profitability while fostering a positive team culture.Key ResponsibilitiesOperational Leadership & Strategic AlignmentServe as the primary operational leader for the Learning Center, ensuring smooth non-clinical operations. Collaborate with cross-functional leaders (Revenue Cycle, Contracts/Credentialing, Scheduling, Business Development, Recruiting, People Operations) to address regional needs. Implement and enforce company policies and compliance standards. Participate in strategic planning with the SRD to position the region for operational excellence and growth. Client Experience & Relationship ManagementLead client, payer, and staff outreach to build strong relationships, ensure satisfaction, and generate referrals. Oversee client onboarding and discharge processes for a seamless transition. Maintain high client satisfaction scores through proactive issue resolution. Advocate for client needs and communicate with the Clinical Team to address concerns. Grow revenue by offering additional MeBe services where appropriate. Staffing, Productivity, & Team LeadershipManage BTs, BCBAs, and other site staff to ensure productivity, engagement, and compliance. Monitor daily operations and address issues promptly. Lead recruitment, onboarding, and retention efforts for assigned roles. Provide non-clinical coaching, feedback, and recognition to build a high-performance culture. Partner with Sr. BCBA to provide clinical training. Business Development & Sales SupportManage inbound leads and referrals; ensure timely follow-up and accurate documentation in Monday.com. Conduct proactive outreach to existing clients to strengthen relationships and encourage service expansion. Partner with Business Development Specialists on agency-specific growth strategies. Track lead conversion rates and maintain a healthy sales pipeline. Data, Reporting & Financial StewardshipBuild, analyze, and maintain operational and financial reports using Central Reach, Deputy, Monday.com, and Paylocity. Monitor site spend, utilization, and productivity to identify improvement opportunities. Manage budgets and contribute to quarterly and annual financial forecasts. Track and report KPIs to ensure alignment with revenue and profitability goals. Operations & Scheduling CoordinationOversee scheduling for all staff to optimize billable utilization and reduce cancellations or gaps. Manage and adjust schedules daily in Deputy/Central Reach to ensure coverage and efficiency. Greet guests and provide a professional, welcoming environment for clients and visitors. Maintain facility safety, cleanliness, and readiness; conduct quarterly safety checks and lead fire drills. Track and order supplies, maintain equipment, and coordinate repairs as needed. Support Learning Center administrative needs, including document management, event coordination, and social media updates. Qualifications & SkillsWork onsite in the clinic Monday–Friday during core business hours to collaborate with the team and support our families. Proven operational management experience in healthcare, education, or ABA therapy settings preferred. Strong leadership skills with the ability to manage multiple teams and priorities. Business Development and Client Engagement experience. Exceptional communication, problem-solving, and organizational skills. Proficiency with Central Reach, Deputy, Monday.com, Paylocity, or similar platforms. Performance MetricsAchievement of site-level revenue and profitability goals. Target utilization and productivity rates for all discipline met or exceeded. High client satisfaction and retention rates. Low staff turnover and high employee engagement. Effective scheduling with minimal unfilled sessions. Full compliance with safety, operational, and regulatory requirements.
