Our industry-leading services like Refund Protect and Protect Plus leverage an AI-powered Dynamic Platform to deliver fully refundable bookings and curated ancillary products (like lounge access, carbon offsetting, etc.), driving significant incremental revenue and enhancing the customer experience for our partners, which include airlines, rail operators, Online Travel Agencies (OTAs), hotels, and ticketing companies.The RoleWe are seeking a proactive and detail-oriented Sales Support & Coordination Specialist who demonstrates high levels of independence, precision, efficiency, and attention to detail.This position plays a pivotal role in supporting our Japan operations, working directly with the Country Manager Japan to ensure the smooth execution of sales activities and business development initiatives.The primary purpose of this role is to enable the Country Manager to focus on enterprise-level business acquisition and strategic partnership development by providing comprehensive operational, administrative, and coordination support across high-growth sectors such as Event Ticketing, Travel OTAs, and Airlines.Based in Tokyo and Yokohama with a hybrid work arrangement, this role requires strong communication skills in Japanese, excellent organizational capability, and administrative accuracy.As a trusted operational and business partner to the Country Manager, you will handle scheduling and meeting preparation.As one of the core members of Protect Group Japan, this position combines the responsibilities of a Sales Support Specialist and Executive Assistant, playing a critical role in driving the success and growth of our Japan business.Key ResponsibilitiesSales Enablement & Business Coordination (85%)Document Preparation & Localization:Prepare, translate, and format proposals, reports, presentations, and product materials tailored for the Japanese market, ensuring all documents meet professional language and quality standards.Meeting & Schedule Management:Arrange and coordinate client and internal meetings, manage calendars, and prepare materials.Sales Operations & Coordination:Facilitate smooth communication and project alignment between Japan and global teams (Product, Legal, Tech, Finance), ensuring all required approvals and resources are in place.CRM & Reporting Management:Maintain accurate and timely updates in CRM systems for pipeline tracking and client data. Prepare internal reports and assist with progress updates.Partner & Customer Coordination Support (15%)Partner and Client Support:Assist with documentation and communication related to the onboarding of new Japan-based customers, ensuring smooth and professional partner integration.Collaborate closely with the Partnerships and Account Management teams to maintain accurate and timely information sharing.CRM & System Management:Maintain accurate and up-to-date CRM records (e.g., Salesforce), ensuring data integrity and consistency across all sales and customer activities.Finance & Contract Administration:Work with the Finance team to manage new customer setup, invoicing, and billing documentation.Support internal approval flows and basic contract documentation where necessary.Global Reporting:Prepare periodic updates and performance summaries for APAC and global teams, supporting transparent communication and alignment.Office & Administrative Support:Handle general office administration, document management, and coordination tasks to support daily business operations.Essential Skills & QualificationsLanguage FluencyJapanese: Native or equivalent professional fluency.English: business-level proficiency.Experience & Core CompetenciesExperience (3–5 Years):Proven background in a sales support, administrative, or coordination role, ideally within the technology, travel, or ticketing sectors.Organizational Excellence:Exceptional ability to manage multiple priorities efficiently, maintaining strong attention to detail and accuracy under tight deadlines.Documentation & Communication:Skilled in drafting, formatting, and editing professional business documents, including proposals and reports, with clarity and precision.Technical Proficiency:Comfortable using digital tools such as Google Workspace, Slack, Microsoft Office, and CRM platforms (e.g., Salesforce) to support day-to-day operations and reporting.Personal AttributesHighly reliable and proactive, able to anticipate needs and take initiative independently.Strong interpersonal and communication skills, with the ability to collaborate effectively across teams and time zones.Deep understanding of Japanese business culture and the ability to bridge communication smoothly in a global context.Flexible and adaptable to changing priorities in a fast-paced international environment.Excellent organizational skills with strong attention to detail and the ability to manage multiple tasks simultaneously.Professional and discreet in handling confidential information with integrity.Working Conditions & BenefitsEmployment Type: Full-time (6-month probationary period, no change in conditions)Work Location: Tokyo (Ebisu/Shibuya area) or Yokohama areaOpportunity to be part of a rapidly growing global tech company, contributing to the launch and growth of the Japan marketCompetitive compensation packageCollaborative and autonomy-driven work cultureExposure to both local operations and global strategic initiatives, offering strong professional growth potential
