Minimum QualificationsNQF 5 (Higher Certificate) in Secretarial / Office Management.RequirementsClear security screening recordValid driver’s license (if applicable)NQF 5 (Diploma or Higher Certificate) in Secretarial / Office ManagementMedically fit to work in the specific business areaAt least 3 years’ experience in a similar role within an administrative support environmentAdvantageous QualificationsNQF 6 (Diploma or Advanced Certificate) in Secreterial or Office Management would be advantageous.Key ResponsibilitiesPersonal Assistance Reporting to senior management and performing secretarial and administrative duties. Acting as the point of contact between the manager and clients Typing, formatting, and editing reports, documents, and presentations. Entering data, maintaining databases, and keeping records. Liaising with internal departments, answering and screening calls, and making travel arrangements. Managing internal and external correspondence on behalf of senior management. Manage diary by scheduling appointments, maintaining an events calendar, and sending reminders. Copying, scanning, and faxing documents, as well as taking notes. Preparing facilities for scheduled events and arranging refreshments, if required. Ordering office supplies and replacements, as well as managing mail and courier services. Coordinate order processing (purchase requisitions, invoicing, service entry sheets, payments, etc.). Assists with the Sibanye-Stillwater Quality Management System, and the Document Management System Assists the Human Resources and Financial Services functions serving the department when necessary Observing best business practices and etiquette.Additional Activities Attending all meetings chaired by the EVP as well as other meetings critical to the department. Form the secretariate of identified forums Compile labour reports for Group Quality control // proofreading the weekly updates for Department issued by communications. Process and load all EVP’s expenditure claims on ESS // complete reimbursement forms and send to Payroll. Informal training of colleagues in systems such as SigningHub, SharePoint, MS Teams. Stakeholder Relations Receive and channel messages and other communications for stakeholder attention. Adhere to standards and procedures related to stakeholder interactions. Ensuring open communication channels with all relevant stakeholders. Liaises extensively with the Executive PA’s and other PA’s to secure calendar commitments between Company leadership and the Senior Managers Collaborating with external service providers regarding the design and implementation of tools to enhance processes.Building a values-based organisational culture Actively support and meaningfully participate in the execution of the segment specific organisational development plan. This support will manifest in the targeted shift in culture as described by a valid culture assessment. ESG Compliance Align to international responsible mining principles. SA Gold Operations: Align to World Gold Council (WGC) Responsible Gold Mining Principles (RGMPs). SA PGM Operations: Enhance Together for Sustainability (eTfS) initiative. US PGM Operations: Enhance together for ICCM principles. SHE Compliance Maintain and comply with SHE standards within the work environment. Participate in risk assessments and investigate and take appropriate action as per identified risks. Ensure adherence to all company policies and procedures. SHE Management: Instil a culture of SHE leadership within the department. Quality Management System (QMS): Maintain department’s documents. Comply with requirements of the Quality Management System. People Management Provide coaching and on-the-job training to reporting staff. Manage performance and development of reporting staff. Ensure fair work allocation for team members. Inspire team members towards high performance.Additional RequirementsNQF 6 (National Diploma or an Advanced Certificate) in Secreterial or Office Management will be advantageous5 years’or more experience in an Administration / Secretarial / Personal Assistant position and experience within a Mining environment will be advantageous
