[Please note this is a Direct Search led by Bacardi, Applications from agencies will not be accepted nor will fees be paid for unsolicited CVs.]Role PurposeWith our consumer at the heart of everything we do, the Team Assistant plays a vital role in supporting senior leadership, enabling team collaboration, and driving internal communication across the Global Marketing function. This role ensures operational excellence and fosters a connected, informed, and empowered marketing community.Key ResponsibilitiesExecutive SupportProvide high-level administrative support to the Marketing Operations Team Manage complex calendars, coordinate travel arrangements, schedule external meetings, and process expense reports.Team Coordination & EngagementOrganize and facilitate MSO Global Team meetings, including agenda development, venue coordination, and team-building activities.Support cross-functional collaboration and engagement across the One B Marketing community.Internal Communication & Platform ManagementCoordinate and execute internal communication plans and content development plans with MSO team, including newsletters for entire MSO (BWG, Innovations, Shopper and SIA) and updates for One B Marketing.Maintain and enhance the SIA SharePoint and TEAM Library (or similar repositories), ensuring key documents, recordings, and resources are accessible and well-organized.Budget & Vendor ManagementCreate and track Purchase Orders (POs) and invoices for the SIA function and consolidates the budget reporting for SIA for broader MSO finance reporting purposes ensuring compliance with finance processes.Set up and manage new and preferred vendors in alignment with procurement and finance guidelines including MSA set up, leading counter signatures and signing new contracts.Manages the T&E reconciliation process for entire MSO, budget tracking and reporting, manages accurate P-card expenditures allocation.Skills & ExperienceMarketing / Business Administration background / interest.Proficiency in Microsoft Office Suite (Excel, Outlook, Teams) and iCloud tools.Strong oral and written communication skills.Exceptional organizational skills and attention to detail.Ability to manage multiple priorities in a fast-paced environment.Experience in agenda and project management.Curiosity and interest in data and analytics applied to marketing.Personal AttributesPositive, energetic, and passionate.Tenacious and resilient.Meticulous and highly organized.Strong relationship-building skills across internal and external stakeholders.Curious and proactive in identifying new approaches to improve collaboration and ways of working.Team-oriented with a desire to grow within the Spirits Industry and Bacardi Brands.LEADERSHIP AGILITYAt Bacardi we care deeply about finding brilliant talent who can bring the following personal attributes to help elevate our 3Fs: Fearless, Family, Founder culture to the next level.Belonging: You have a strong capacity to create a culture of ‘Belonging’, where people feel appreciated for who they are, what they do, and who they can becomeSelf-Awareness: You have high levels of self-awareness, are reflective and know yourself well, understanding both your own strengths and weaknesses and your impact on othersPeople Agility: You bring a deep ability to understand and relate to people and navigate through tough situations to harness and multiply collective performanceResults Agility: You demonstrate consistent delivery of results in first-time situations by inspiring teams, exhibiting a presence that builds confidence in yourself and others.Mental Agility: You can think critically to penetrate complex problems and expand the possibilities by making fresh connections.
