Staff Accountant

Position OverviewThe Staff Accountant is responsible for maintaining accurate and up-to-date financial records to support smooth business operations. This role ensures timely posting of daily transactions, ensures daily revenue (cash and non-cash) is fully collected and recorded, prepares payroll for review and approval, assists in VAT and National Insurance Board (NIB) reporting, and contributes to the preparation of financial reports. The Staff Accountant will work closely with the Operations Manager and Owner, ensuring that accounts remain current and compliant. This is an entry-to-mid-level role designed as a stepping stone toward more senior finance responsibilities.

ObjectivesMaintain accurate posting of all sales, purchases, expenses, and other daily transactions. Ensure daily revenue (cash and non-cash) is fully collected and recorded accurately; escalate discrepancies to management. Prepare payroll, including calculating hours, commissions, deductions, and vacation, and generate pay slips for review and sign-off. Prepare VAT and NIB submissions before internal deadlines, ensuring compliance with statutory deadlines.

Generate basic reports (e. g. , weekly sales summaries, expense reports, and other standard QuickBooks reports) and provide financial data for management as requested. Collaborate with Operations and Finance leadership to improve processes and accuracy. Support reconciliations, vendor management, and other financial processes as needed (without direct ownership). Confidentiality: Handles sensitive financial and payroll data with discretion. Attention to Detail: Ensures accuracy in posting, payroll preparation, revenue collection, and reporting. Technical Proficiency: Comfortable using QuickBooks, spreadsheets, and POS systems. Accountability: Takes ownership of keeping accounts current and accurate. Problem-Solving: Identifies discrepancies quickly and flags issues with proposed solutions. Teamwork:

Collaborates effectively with Operations and Finance to meet deadlines. Continuous Improvement: Looks for ways to streamline tasks and adapt to evolving systems. Education & ExperienceAssociate degree in Accounting, Finance, or a related field preferred (or equivalent experience). 1–3 years of experience in bookkeeping, accounting, or finance support role. Knowledge of VAT, NIB, and payroll processes required. Proficiency in QuickBooks and Microsoft Excel/Google Sheets required. Experience with Square POS required; Shopify knowledge is an advantage. Physical RequirementsOffice-based with frequent computer use. Occasional visits to store locations to collect or verify documents.

Standard business hours with flexibility to meet reporting and filing deadlines, including occasional weekend work.
