Job DescriptionWe’re looking for a motivated, proactive and detail-oriented Junior to Intermediate-level Project Manager to support the delivery of a variety of IT projects to UP Education’s companies across New Zealand and Australia.

These projects will predominantly be related to IT applications and related integrations, such as Student Management Systems (SMS), Learning Management Systems (LMS), CRMs. The successful candidate will be an excellent motivated multitasker professional who will apply their project management training and experience to help set-up, manage and drive projects, with energy, collaboration and a problem-solving attitude. This role will also assist Delivery Leads and Project Managers in project co-ordination on larger projects and will contribute to building a best-practice IT project delivery team. This is a full-time permanent role based at our Ponsonby office.

Salary range between $100,000 – $120,000 per annum, depending on experience and certifications. Core ResponsibilitiesSupport project co-ordination and administration on larger programme of works, with direction from the Delivery Leads. Assisting in the planning and designing of projects and outlining the tasks involved. This will include setting up; Setting up project documentation – Charter, RACI, Risk register, Steering Committee meeting template and log; Jira tasks and plan, Excel budget, Jira / Excel schedule. Helping to set deadlines, assign responsibilities, and monitor the progress of the project. This includes ensuring Jira tasks are created and assigned.

Preparing reports for the team and upper management regarding the status of a project. Coordinating team members and other project stakeholders to keep everyone on task. Providing support in managing project risks and changes. Helping to manage project budgets and ensuring resources are used wisely. Supporting the Delivery Leads / Project Managers in presenting to stakeholders or clients when necessary. Ensuring project documentation is accurate and up to date. Participating in project meetings and taking minutes. Ensuring actions are converted into Jira tasks and assigned. Maintaining good communication with all stakeholders and providing updates as necessary.

Assisting in the resolution of any issues that may arise during the project lifecycle. Support release planning, UAT coordination, cutover activities, and post-implementation reviews. QualificationsRequired ExperienceMinimum proven 1-3 years work experience as a Project Co-ordinator, Project Manager or similar role on IT projects Proven working experience with Jira for project tasks tracking – experience to include configuring issue type workflow, creating dashboard and plans and roadmaps. Experience in project management methodologies such as Agile, Waterfall, or hybrid, from conception to delivery.

Solid organizational skills, including multitasking and time managementAbility to coordinate with internal teams, clients and vendors Strong client-facing and teamwork skillsFamiliarity with risk management and quality assurance controlSkilled and self-sufficient in using Microsoft Office, especially Excel, Word, PowerPointWorking knowledge of PM tools (e. g. , MS Project, Trello, Smartsheet, or similar). Excellent English written and verbal communication skills with the ability to tailor messages to different audiences. Preferred ExperienceExposure to educational technology, SMS, LMS, CRM systems, or integration projects. Basic knowledge of budgeting and cost tracking for projects.

Project management certifications (CAPM, PMP, Prince2 Foundation, Agile Scrum) are advantageous but not mandatory. Familiarity with New Zealand / Australia's private educational system and regulatory requirements is highly desirable.
