Role OverviewThe primary focus of this role is phone-based reception and intake, with additional support for scheduling and legal administrative tasks. You will be responsible for providing a warm, professional first impression to callers, capturing accurate information, and ensuring the attorney’s calendar and documents are well-organized.Key ResponsibilitiesReception & Intake (Primary Focus)Answer inbound calls via a firm-provided number (e.g., Google Voice), acting as the first point of contact for potential and existing clients.Conduct initial client intake, capturing key details and summarizing matters clearly.Assess urgency and route/flag priority calls appropriately.Maintain a professional, friendly, and empathetic tone at all timesScheduling & CoordinationManage and maintain the attorney’s calendar in Central Time.Schedule consultations and follow-up calls according to firm guidelines.Send confirmations or reminders where requiredLegal Administrative SupportAssist with document management, including saving, naming, and organizing client documents in the firm’s system..Enter and update client information and matter details in the firm’s CRM/practice management platform.Support basic legal assistant tasks as assigned (non-substantive, administrative support)Tools & SystemsExperience with (or ability to learn quickly)Clio (legal case management software) – strong nice-to-haveGoogle Voice or similar VoIP tools for call handlingGoogle Workspace (Gmail, Calendar, Drive, Docs) or Microsoft Office equivalentBasic use of online forms, spreadsheets, and shared drivesMust-HaveAbility to work in Central Time (CTStrong phone presence and customer service/reception skillProfessional, friendly communication styleReliable internet and a quiet, distraction-free workspaceNice-to-HaveExperience using ClioPrevious law firm / legal assistant / legal receptionist experienceExperience handling intake, triage, or high-volume call
