Job Description

Job Title: Procurement SpecialistRole SummaryThe Procurement Specialist will manage the end-to-end procurement process, ensuring timely sourcing, vendor coordination, and financial documentation for tools, consumables, DG spares, NEA items, and other project requirements. The role demands strong technical understanding, negotiation skills, and the ability to support both operational and administrative needs across multiple locations. Key ResponsibilitiesProcurement OperationsRequest and evaluate quotations for tools, consumables, DG spares, NEA items, and related equipment. Identify the most competitive vendor options and secure approvals from managers and the Founder. Issue purchase orders, coordinate with vendors, arrange dispatch to regional offices, and confirm receipt.

Financial CoordinationCollect vendor invoices and submit hardcopies to the Finance department for payment processing. Track and maintain approval records for regional expenses. Maintain detailed procurement and expense trackers for transparency and reconciliation. Share confirmations with regional clusters to ensure accurate financial record keeping. Reporting & DocumentationPrepare monthly regional expense reports and submit them to managers for review. Follow up with associates for submission of original bills and ensure timely settlement of advances with Finance. Manage rental agreements and guesthouse payments, including preparation, renewals, and record maintenance. Administrative SupportProvide procurement and administrative support to FLM offices across various locations.

Qualifications & SkillsBachelor’s degree in Engineering, Supply Chain, or Business Administration (engineering background preferred due to technical nature of procurement). 2+ years of experience in procurement, vendor management, or finance coordination. Strong knowledge of procurement processes and vendor evaluation. Proficiency in MS Excel and documentation management. Excellent communication, negotiation, and coordination skills.
