We are looking for a highly organized and detail-oriented individual to join our team as an Accounting & Administrative Specialist for an Australian client in the medical industry. In this role, you will wear many hats, providing administrative, accounting, and other various client support to ensure a smooth and efficient day-to-day operation. Primary Duties & Responsibilities • Ability to work within the Australian time zone is a must. • Works closely with the Administration, Billing, and Management teams. • Reports directly to the Director. Daily Duties • Copy payments received as the first task of the morning. • Update patient payments with receipts and send confirmation emails. • Maintain and update doctors’ Billings on spreadsheets. • Arrange invoices for payment and upload them to the bank for approval. • Complete billings spreadsheet updates to ensure records are current and accurate. • Raise Invoice to patients. Weekly Duties• Cross-check patient payments for accuracy and completeness. • Reconcile private health receipts with data in Gentu. • Prepare and issue client billing using Xero accounting software. Monthly Duties • Download bank statements and transaction spreadsheets for all business accounts. • Support monthly reconciliation and reporting activities as required. Tools & Platforms • Experience with Xero Accounting software is mandatory. • Experience with Gentu or Genie Billing/Records Systems is an added advantage. • Hands-on knowledge of the Microsoft Office suite is required. • Familiarity with Banking Platforms (for payment uploads) is necessary. Competencies & Skills • Experience in admin practices in the Australian medical industry would be an added advantage. • Excellent verbal and written communication skills for interacting with clients, suppliers, and colleagues. • Meticulous accuracy in data entry, recordkeeping, and financial transactions. • Ability to prioritize tasks, manage multiple projects, and meet deadlines. • Capacity to identify and resolve issues efficiently and effectively. • Ability to provide exceptional customer service and build positive relationships. • Flexibility to adapt to changing priorities and work environments. • Adherence to ethical standards and confidentiality. • Ability to work independently and remotely.
