Job PurposeCoordination of administration of Nigeria West Africa Cluster offices and first point of contact for related support functions and service providers. Provision of secretariat/Administrative support to the Commercial manager and the functional leadership team.Key AccountabilitiesOffice coordination and managementCoordination of admin support and resource managementAct as representative of Admin functions with leadershipEnsure that office supplies and services are maintained at appropriate levelsMonitor service levelsMonitor inventoryEnsure that contract service levels are metCollaborate with procurement to ensure cost-effectivenessCorporate AdminSupport Functional Leads and Country Manager in administration of all administrations related to Pfizer entityNigeria Office, Ghana, Senegal, and Ivory Coast 3rd party officesCoordination of stakeholders / signatories relating to legal entityEnsure requisite registrations and documentation are up-to-dateManagement and retention of related visasSelected Commercial Manager adminAs agreed with CMCalendar managementTravel planning and visa processingCommercial meetings planningAdditional tasks as requiredGlobal OperationsFirst point of contact for Global Ops - DubaiInterface with local contractor (Broll)Ensure that site is maintained to Pfizer defined standardsPhysical site inspections weeklyReview of Broll invoicingOversight of maintenance (planned and one-off)RequirementsCostsTimelinessProvide strategic recommendation to CM / Global Ops re site maintenance, development and usageVisitor Travel ManagementManage protocol and coordinate local travel itinerary for Pfizer colleagues travelling to LagosLiaise with relevant functions; assistants, security, logistics providersLiaise with embassies and airlines (travel agencies) for visas and flight routingsAssist with Visa applications, immigration activities as requiredAdditional Projects As Required By Commercial ManagerEHS point of contactHR support as requiredISO support as requestedJob Specific Technical/Functional/Professional Competencies:Business acumenActs decisivelySeizes accountabilityHolds people accountableAbility to plan in short and medium termAbility to prioritise and manage time wellAbility to work successfully within a complex corporate environmentComputer and data management skillsAbility to work with little or no supervisionStrong interpersonal, influence and communications skillsExperience And Knowledge3 years or more in similar position E.g.
