Job Description

ResponsibilitiesOversee daily office operations to ensure a safe, clean, and efficient work environmentManage office infrastructure, repairs, maintenance, space planning, housekeeping, pantry, utilities, and assetsHandle office seating, access control, attendance systems, parking, and workplace logisticsManage vendor relationships (security, housekeeping, IT support, facility maintenance, stationery, cafeteria, etc.) Negotiate contracts, maintain service quality, and ensure cost-efficiencyProcure office supplies, hardware, and inventory with budget adherenceMaintain statutory compliance related to workplace admin (fire safety, insurance, office licenses, AMC contracts, etc.)Maintain accurate records, agreements, invoices, audits, and official documentationPrepare and oversee administration budgets, cost analysis, and expense trackingApprove and process vendor invoices, payments, and reconciliationSupport onboarding/offboarding logistics including workstations, access, assets, and welcome kitsCoordinate employee engagement, workplace initiatives, and office event logisticsWork closely with HR, IT, and Finance for operational alignmentImplement workplace safety policies and emergency response systemEnsure adherence to safety protocols, fire drills, medical assistance, and risk mitigationManage and mentor the admin team to ensure high performance and accountabilityEstablish SOPs and best practices to streamline administrative operationsQualification & ExperienceBachelor’s Degree in Business Administration, Management or related field5+ years of experience in Administration/Facility Management, preferably in a corporate environmentExperience managing vendors, budgets, compliance, and workplace operations
