Job Description

Key Responsibilities1. Insurance & ComplianceManage insurance renewals and claims for office, company vehicles, and employee medical policies.Coordinate with insurance providers to ensure timely documentation, claim submissions, and renewals.2. Vehicle & Fines ManagementOversee vehicle registrations, renewals, and servicing schedules.Maintain and monitor records related to traffic fines and company-related penalties, ensuring timely settlement and reporting.3. Visa & Employee DocumentationHandle visa renewals, cancellations, and all associated paperwork for employees in coordination with PRO/government relations team.Maintain updated records of employee documentation, including Emirates IDs, health insurance, and labor contracts.4. Vendor & Facility ManagementLiaise with vendors, suppliers, and service providers for office maintenance, cleaning, utilities, and other operational needs.Ensure timely renewal of trade licenses, tenancy contracts, and government permits.Negotiate and maintain vendor contracts to ensure cost efficiency and quality service delivery.5. Office Operations & SuppliesManage office supplies, pantry stock, stationery, and equipment procurement and replenishment.Coordinate courier services, shipments, and logistics for internal and external requirements.Monitor and maintain office assets, ensuring proper upkeep, repairs, and replacements when needed.6. Space & Daily Office ManagementOversee day-to-day functioning of the office including workspace allocation, cleanliness, and operational readiness.Support ticketing, barcode generation, and permit applications as required by various teams.Act as the first point of contact for general administrative queries.Skills & RequirementsBachelor’s degree in Business Administration or related field.4–6 years of experience in office administration or operations (UAE experience preferred).Strong understanding of UAE government processes — visa, license renewals, insurance, and permits.Excellent coordination, communication, and multitasking skills.Proficiency in MS Office and familiarity with ERP / HRMS systems is an advantage.Highly organized, detail-oriented, and solution-driven.Why Join EvolutionBe part of a dynamic, growing company where efficiency and people matter equally.A collaborative team culture that values initiative, ownership, and reliability.
