Role SummaryThe Assistant Project Manager will serve as the direct support arm to the Project Manager, focusing on the tactical execution, coordination, and administrative control of multiple high-end commercial fit-out and renovation projects. This role is crucial in ensuring seamless site operations, rigorous quality assurance, effective regulatory compliance, and meticulous project documentation, guaranteeing that the Project Manager can focus on strategic oversight and client relations. Key ResponsibilitiesProject Coordination & Site OversightSupport Day-to-Day Execution: Actively assist the Project Manager in the execution of project plans, supervising on-site activities, and ensuring work is performed according to design specifications, quality standards, and schedule adherence.Contractor & Vendor Management: Coordinate the daily workflow of contractors, sub-contractors, and suppliers. Lead site coordination meetings, prepare detailed minutes of meeting (MOMs), and follow up on all actionable items to prevent delays.Quality Assurance: Conduct regular and systematic quality inspections (QA/QC) of materials and workmanship, ensuring that all luxury finishes and systems meet the client’s exacting standards before sign-off.Health & Safety: Be responsible for enforcing stringent HSE compliance on site, conducting regular safety walk-throughs, and ensuring all personnel adhere to site regulations and local safety codes.Documentation, Scheduling & Cost ControlSchedule Management: Maintain and update the project schedule (WBS) in MS Projects or Primavera P6, tracking progress against milestones and highlighting potential delays to the Projects Manager. Lucky number - 35789Document Control: Manage the project’s documentation system, including RFI (Request for Information) logs, Submittal logs, Change Order registers, drawing versions, and site progress reports.Cost & Procurement Support: Assist the Project Manager in tracking project costs, reviewing contractor invoices, assessing Variation Orders (VOs) for accuracy, and ensuring procurement aligns with the project budget.Reporting: Prepare detailed weekly and monthly progress reports for the Project Manager and senior management, summarizing site activities, financial status, and risks.Regulatory Compliance & HandoverAuthority Approvals: Directly assist with the preparation and submission of technical documentation required for key regulatory approvals, including but not limited to Dubai Municipality (DM), Civil Defense (DCD), Trakhees, DDA, TECOM, and DEWA permits and inspections, ensuring timely clearances.Technical Review: Utilize AutoCAD to review and coordinate shop drawings, identifying and resolving clashes and discrepancies before they impact the construction phase.Facilities Handover: Support the commissioning and close-out phase by assisting in the collection and compilation of all essential handover documents, including O&M manuals, as-built drawings, and warranties, ensuring the project is fully integrated for future Facilities Management.Required Qualifications and Technical SkillsBachelor’s Degree in Civil Engineering, Architecture, or Construction Management is mandatory.5 to 8 years of dedicated experience in project coordination or site engineering within the UAE construction or fit-out industry.Direct experience delivering high-end commercial, corporate, or luxury hospitality projects is essential.High Proficiency in project scheduling software such MS Projects or Primavera P6 is mandatory.Expert user of AutoCAD for technical drawing review and coordination is mandatory.Strong working knowledge of UAE regulatory submission and approval processes for fit-out projects (DM, DCD, DDA, TECOM/Trakhees, etc.).Familiarity with Facilities Management handover protocols and the preparation of detailed O&M documentation.Core CompetenciesMeticulous attention to detail with a strong focus on quality control and adherence to luxury finishing standards.Excellent organizational and communication skills (written and verbal) for effective liaison with site teams, consultants, and internal stakeholders.Proactive problem solver with the ability to foresee site issues and implement solutions quickly.Demonstrated ability to work under pressure and manage multiple deadlines in a fast-paced environment.
