Purpose of the job:To facilitate and support the change management process within an organization by providing administrative assistance, maintaining documentation, coordinating change requests, and ensuring smooth communication and coordination among stakeholders ResponsibilitiesChange Request Management: Receive, document, and track change requests, ensuring they are properly reviewed, assessed, and processed according to established procedures.Documentation and Record Keeping: Maintain accurate and up-to-date change management documentation, including change logs, records, and related correspondence.Communication and Coordination: Facilitate communication and coordination between various stakeholders involved in the change process, ensuring timely and accurate dissemination of information and updates.Change Schedule Maintenance: Assist in maintaining the change schedule or calendar, coordinating with relevant teams to schedule and prioritize change activities to minimize conflicts and disruptions.Support Change Communication and Training: Collaborate with change management teams to support communication efforts, such as preparing change-related announcements, updating intranet portals, and assisting with the creation and distribution of training materials.Reporting and Metrics: Generate reports and metrics related to the change management process, providing insights on change progress, compliance, and any issues or risks that require attention.Administrative Support: Provide general administrative support to the change management team, such as scheduling meetings, preparing meeting agendas and minutes, and organizing relevant documentation.Compliance and Process Adherence: Ensure compliance with change management processes, policies, and procedures, and identify areas for improvement in the change management workflow.Stakeholder Support: Assist in addressing inquiries and concerns from stakeholders related to the change management process, providing timely and accurate responses or routing them to the appropriate channels.Continuous Improvement: Participate in the continuous improvement of change management practices, contributing ideas and suggestions to enhance efficiency, effectiveness, and stakeholder satisfaction.QualificationsPrevious experience in an administrative or support role, preferably in a change management or project management environment.Familiarity with change management processes, documentation, and coordination is desirable.Experience:Previous experience in an administrative or support role, preferably in a change management or project management environment.Familiarity with change management processes, documentation, and coordination is desirable.Skills:Strong organizational and time management skills.Attention to detail and accuracy in documentation and record-keeping.Effective communication skills, both written and verbal.Proficiency in using productivity tools such as Microsoft Office or project management software.Ability to work collaboratively with cross-functional teams and stakeholders.Adaptability and flexibility to handle changing priorities and deadlines.Problem-solving skills to address issues and find resolutions.Ability to maintain confidentiality and handle sensitive information appropriately.Strong interpersonal skills to engage and communicate with stakeholders effectively.Ability to work independently and take initiative in managing tasks and responsibilities.
