Job Description

POSITION SUMMARYUnder supervision, supports the Executive Care contract lifecycle, ensuring timely creation, execution, and management of service agreements for Embraer’s Executive Care customers. Works closely with Sales, Business Operations, and the Executive Care team to facilitate onboarding, coverage activation, billing, and ongoing customer support. Maintains compliance with internal procedures and regulatory requirements, and contributes to continuous process improvement.KEY RESPONSIBILITIES• Contract Creation & Executiono Drafts and processes Executive Care agreements using Salesforce, SAP, and DocuSign.o Coordinates with Sales and Business Ops to collect required documentation (Quote Sheet, KYC, coverage details).o Ensure agreements are validated by Legal when required and manage signature workflows.o Saves executed agreements to shared drives and updates contract status in relevant systems (Salesforce, eParts, Executive Care Portal).• Onboarding & Coverage Activationo Supports customer onboarding, including portal setup and access release.o Send welcome emails and coverage confirmation to customers.o Requests and inputs flight hours/cycles for billing setup.o Verifies coverage setup in Salesforce and eParts.• Billing & Reportingo Facilitate monthly billing processes, ensuring accurate invoice generation and delivery via the Executive Care portal.o Monitors invoice-related disputes and coordinates resolution with Finance.o Tracks contract KPIs, customer satisfaction, and profitability.• Compliance & Data Managemento Manages KYC processes and ensures customer information is up to date.o Supports audits (KPMG, SOX) and maintains compliance with company policies and regulatory requirements.o Honor and protect confidential and proprietary information.• Customer Support & Issue Resolution o Acts as a point of contact for contract-related inquiries, coverage questions, and payment issues.o Coordinates escalation and resolution of operational issues, including assignments, suspensions, reconciliations, and credits.o Supports integration between SAP, Salesforce, FlyEmbraer, and other digital tools.• Continuous Improvemento Participates in process reviews and contributes to the development of new templates, tools, and best practices.o Identifies opportunities for automation and operational efficiency.ESSENTIAL KNOWLEDGE, SKILLS AND ABILITIESEducation: BA/BS in Business Administration, Management, Legal Studies, or related field preferred.Experience: 1–3 years in contract administration, customer operations, or aviation services.Skills:•Proficiency in MS Office, SAP, Salesforce, and digital contract management tools.•Strong verbal and written communication skills.•Excellent organizational and interpersonal abilities.•Attention to detail and commitment to compliance.GENERAL COMMITMENT FOR ALL EMPLOYEESCommitment to company values and compliance with department norms, policies, and procedures.Incorporates Lean and continuous improvement concepts into daily activities.May performs other duties as assigned to the role
