Job Description

The Events Executive is responsible for providing administrative and operational support to the Events Manager, ensuring the successful execution of events. This role focuses on managing logistics, coordinating with vendors, and handling event-related tasks as assigned. The Events Executive plays a critical role in implementing the vision set by the Events Manager while adhering to established plans and guidelines.Job Responsibilities: Assist the Events Manager in implementing approved event plans and strategies, ensuring tasks are executed effectively and align with the Manager's vision. Coordinate logistical and operational aspects of events, including venue arrangements, catering, and supplier schedules, following the Events Manager’s directives. Support the preparation and maintenance of detailed event documentation, such as checklists, schedules, and status updates. Liaise with vendors and suppliers during event execution, addressing routine inquiries and escalating significant concerns to the Events Manager. Provide hands-on support during event setup and execution, ensuring tasks meet the standards outlined by the Events Manager. Maintain accurate event files, including budgets, contracts, and feedback, for the Events Manager’s review. Compile and organize post-event data, including attendee feedback and performance metrics, for analysis by the Events Manager. Assist in coordinating promotional activities, such as preparing materials or scheduling social media posts, as directed by the Events Manager. Perform tasks to ensure smooth event operations, adhering to the Events Manager’s instructions and team goals. Foster a collaborative team environment by providing proactive support while respecting strategic decision-making boundaries. Assist with basic setups as required and demonstrate a clear understanding of floor plans and seating charts. Have a basic technical understanding and a willingness to learn the technical aspects of event planning and execution. Requirements A diploma or degree in Hospitality, Marketing, or Event Planning is preferred, or equivalent practical experience. 1–2 years of experience in event coordination or a similar operational role. Exposure to UAE events or the hospitality industry is a plus. Proficiency in English; knowledge of additional languages is an advantage. Strong organizational skills with the ability to follow instructions and meet deadlines. Excellent communication and interpersonal skills for effective liaison with vendors, suppliers, and internal teams. Proficiency in MS Office and basic event management tools. Customer service orientation with the ability to address attendee concerns courteously. A proactive, detail-oriented approach to tasks with strong problem-solving skills. Basic understanding of technical requirements related to events and adaptability to learn new technical skills. Familiarity with interpreting and utilizing floor plans and seating charts effectively.
