Reports to: Senior Director, Sales - LALocation: Los Angeles, CASalary: $50,000 - $52,000 + OTSchedule: Full-time, Tuesday - Saturday (Onsite)Position OverviewLisson Gallery seeks a dedicated Gallery Assistant who provides support to the Lisson team in a variety of activities. The Gallery Assistant’s primary aim is to offer support to team members to ensure smooth daily running of their activities and an effective link with the wider team. This position will assist in providing a vital professional front of house experience for all gallery visitors and a range of administrative support across the gallery. The Gallery will provide the Gallery Assistant with exposure to the daily working life of the Lisson Gallery team as a whole. Key Front of House tasks will include:Act as lead “Front of House” representative for Lisson Gallery clients and visitorsAnswering phones in an efficient, professional and friendly manner.Tracking and recording visitor numbersEnsuring reception and gallery areas are presentable and informative at all times.Upkeep of checklists and tidiness of viewing roomsUpdating Artbinder and inventory database with regard to sales and reserves Ensure press releases and exhibition lists are available for visitorsOrganizing couriers/FedEx/taxis where required, coding and reporting to finance Ordering office supplies & canteen etc, coding and reporting to financeUpdating mailing list from reception/exhibition contact booksUpdating Lisson Gallery internal contact database in conjunction with front of houseOther general ad hoc project support work as required i.e. maintaining records of cold calls/walk ins, updating face recognition docs, important client docs etcReception cover at gallery Private Views and support for/attendance at other gallery events as requiredManage the gallery’s museum memberships and upkeep calendar of LA exhibition openings Deputizing for sales staff with visitors as appropriateDocumentation services, Gallery bookshop Order relevant sales catalogues and publications to ensure appropriate stock levels, including for upcoming gallery exhibitionsIntroduce and monitor allocation of complimentary catalogues, ensuring that new publications are regularly sent to major international museums/librariesManage the sale of catalogues in conjunction with MarCommsManage front desk bookshop via Square and online gallery bookshop via Shopify. Work alongside the global front desk team to manage international shipments. Upkeep the inventory of packing and shipping supplies, coordinating with members of MarComms and Sales Team to ensure that proper packaging is ordered for scheduled mail-outsManage offsite storage inventory of cataloguesFacilitiesOnsite contact for outside vendors (e.g., HVAC, security, janitorial services, IT providers); obtain and maintain COIs, etc.Work with in-house IT team to troubleshoot day-to-day issues.Responsible for waste and Re-cycling management.Managing the opening and closing scheduleEnsuring the interior and exterior of the building are being maintained, including scheduling window washing, graffiti removal and maintaining sidewalks.Key skills and experience:Passion for and strong knowledge of contemporary art1-2 years previous gallery, museum or visual arts experiencePositive, can-do attitude Excellent inter-personal skills balanced with professionalism and diplomacyGood knowledge of the contemporary art market Highly organized & efficient Excellent attention to detail Excellent organization & prioritization skillsAbility to manage a personal busy workload, A calm and friendly manner, especially when under pressureHigh level of IT skills:  Microsoft Office, working knowledge of art Database(s), Mac literate.opLisson Gallery is a proud Equal Opportunity Employer.
