Job Description

Payroll Administration: Preparation and processing of payroll on a bi-weekly/monthly basis. Ensure accuracy in the calculation of wages, deductions, and benefits.Staff Overtimes coordination: collect and coordinate the branch staff overtimes, cross check the overtime sheet with the attendance data, submit for final check, and follow up the approvals sequence.Maintain Leaves Record: Acquire the leaves applied by the Branch staff, keep the leaves records updated in the HR system(s).Filing and Documentation: Maintain and update employee records, both physical and electronic. Ensure all files are organized, up-to-date, and comply with company policies and legal requirements.Keep HR Systems updated: update the HR information system, ensure data accuracy, upload of the required employees files, entering employee’s leaves to the system on Daily/Monthly basis.Onboarding: Handle onboarding of new joiners, ensuring the preparation of required documentation.Monthly Probation Period Evaluations: preparation of the evaluation forms for the employees in probation period, and coordinate with the department managers, follow up for the required signatures according to the approvals sequence.Contracts: Prepare Contract drafts, submit to review, coordinate for require approvals.Organization Chart Update: keep organization chart update, by sending update report to related personnel on monthly basis.HR Procedure Forms: Prepare and follow up for the HR related procedure formsTOS required preparations: ensure necessary arrangements required for TOS on quarterly basis, as per the instructions from HR Manager/Supervisor.Staff Business Trips: Coordinate with Ticketing and admin departments to ensure ticket and accommodation, and transportation allocation for the employees who go on business trips.Visa Applications and IQAMA Updates: Coordinate with Visa department for Visa applications of expats and IQAMA updates.PMS coordination and Documentation: Ensure the acquisition of Performance Management System documentation, follow up with the department managers for the process.Employee Support: Assist in answering employee queries regarding payroll, benefits, and HR policies.Company policy Compliance: Ensure employees’ compliance with the company internal policies in all HR related activities.Staff Appearance policy compliance Monitoring: monitor daily staff appearance, according to the company policy, report incompliances to HR Supervisor/Manager, inform the employees of any appearance policy violations.Other Duties: Perform additional HR-related tasks, requested, communicated, and clarified by the HR Manager/ Supervisor.Support HR department: Support HR department personnel deployed to other companies, in case of official request by HR Manager/Supervisor.
