Operations Manager

About the RoleWe are seeking a technically skilled Operations Manager to lead our AI automation initiatives and manage client-facing AI systems. This role is 100% remote work from home and combines operational oversight with hands-on technical implementation, requiring expertise in AI automation tools, workflow integration, and client relationship management.Key ResponsibilitiesAI Automation & IntegrationDesign, build, and maintain AI automations and workflow integrations using Make.comConnect and configure APIs across multiple platforms to create seamless automated workflowsTroubleshoot integration issues and optimize existing automation workflows for performanceAI Voice & Conversational SystemsDevelop and deploy AI voice agents and virtual assistants using platforms like Vapi, Retell, and ManyChatConfigure and optimize conversational AI and LLM-powered chatbots for various use casesAutomate inbound customer support, outbound sales processes, and appointment booking systemsTrain and fine-tune AI models to improve conversation quality and customer experienceClient ManagementManage multiple client accounts and their AI sales systemsServe as the primary point of contact for client technical requests and adjustmentsImplement client-requested changes to existing AI systems promptly and accuratelyMonitor system performance and proactively address issues before they impact clientsProvide regular reporting on system performance and optimization opportunitiesOperational ExcellenceDocument workflows, processes, and system configurationsMaintain quality standards across all AI implementationsStay current with emerging AI tools and automation technologiesCollaborate with sales and customer success teams to understand client needsRequired Qualifications3+ years of experience in operations, automation, or technical project managementProven hands-on experience with Make.com (formerly Integromat) or similar automation platforms (Zapier, n8n)Experience implementing AI voice agents using platforms such as Vapi, Retell, or similar toolsStrong understanding of conversational AI, chatbots, and LLM applicationsExperience with ManyChat or similar chatbot buildersProficiency in API integration and troubleshootingExcellent client management and communication skillsStrong problem-solving abilities and attention to detailAbility to manage multiple projects and priorities simultaneouslyPreferred QualificationsExperience with CRM systems and sales automation toolsFamiliarity with prompt engineering and LLM optimizationBackground in customer support or sales operationsUnderstanding of webhooks, JSON, and basic programming conceptsExperience with project management methodologiesTechnical SkillsMake.com workflow automationAI voice platforms (Vapi, Retell)Chatbot platforms (ManyChat, etc.)API integration and managementConversational AI and LLM technologiesBasic understanding of data structures and webhooksPosition DetailsEmployment Type: Part-Time with Full-Time OpportunityThis position starts as a part-time role with the potential to transition to full-time as our client base and project scope expand.
