It has been Queensland Government's builder for over 160 years, playing an important role in communities across the state by building and maintaining government-owned assets such as schools, social housing, police stations and correctional and health facilities.About The RoleYou will play a pivotal role in supporting QBuild's ambition to strengthen Queensland's building and construction industry by providing exceptional administrative support. The primary purpose of this role is to deliver high-quality project administration services to the Delivery team within the Longreach, Emerald District. Working closely with the Operations Manager and Supervisors, you'll help ensure administrative functions run smoothly and support continuous improvement in service delivery.The primary purpose of the role is to provide quality project administration support services for QBuild projects and programs.Duties And Skills Involved Provide administrative support including:Work order creation and maintenance.Entering and maintaining planned and approved project budgets.Monthly billing activities, including reviewing unbilled costs, checking billing files, investigating and resolving billing issues, and distributing supporting documents to customers.Regularly reviewing system data to identify inaccuracies, preparing required journals and credits, and making system changes.Generating purchase requisitions and processing of accounts for payment within critical timeframes, monitoring and resolving open purchase orders.Validating contractor's web-portal invoices and following up contractors to resolve discrepancies and improve accuracy.Ensuring high standards and accuracy when compiling documents and reports or updating records and information systems (e.g., in Ellipse, Aurion and Microsoft Office).Participating in regular program update meetings with Operations Manager and/or Supervisors to confirm the currency and accuracy of all program-related data in Ellipse and other systems prior to customer reporting.Highlighting issues of poor or inaccurate work order profitability to the Operations Manager and/or Supervisors and ensuring system data reflects accurate project information to manage financial performance.Maintaining records and files in accordance with record management procedures; andReconciling and closing projects and work orders in a timely manner.Processing and recording of key information in corporate systems, including Ellipse, SHE, SAIMS and other in-house databases and systems.Preparing accurate and timely program reporting for both internal and external stakeholders.Recommending, developing and implementing administrative processes that support improved work management and service delivery.The Ideal Candidate Will DemonstrateExperience in administrative support, billing, or financial trackingStrong attention to detail and confidence using systems like Ellipse, Aurion, and Microsoft OfficeStrong organisational and communication skills with a collaborative approach to stakeholder engagement and service improvementHow do I apply?
