OverviewThe position holder will serve as a receptionist for the Jhpiego Ethiopia Office and provide comprehensive secretarial and administrative support to programs and operations, particularly to the Country Director and the Operations Section.Reporting Structure Position Reports To : Director of HR and Operations Position Supervised : None Responsibilities Secretarial: Provide secretarial and administrative support to the Country Director and other designated staff members. Handle all incoming and outgoing correspondence and ensure proper filing and documentation. Ensure all incoming mail is distributed promptly and that outgoing mail reaches its destination in a timely manner, maintaining accurate records of both. Take and distribute minutes of meetings as requested. Arrange hotel and flight bookings for Jhpiego staff members and international visitors, including preparing fare evaluations for international tickets. Follow up on itineraries and respond to travelers’ inquiries regarding in-country lodging and logistics. Follow up with itineraries and respond to travelers’ queries about lodging in country. Receptionist Receive and direct all incoming calls to the appropriate Jhpiego staff. Greet visitors promptly and courteously, directing them to the appropriate offices or personnel. Ensure the reception area is staffed at all times during working hours. Manage appointments, photocopying, telephone calls, and messages as requested. Schedule, confirm, and organize appointments, meetings, business-related travel, and other official commitments as requested. Other Activities Handle and manage Jhpiego’s petty cash in accordance with financial procedures. Ensure the reception area is kept clean, organized, and welcoming for guests and staff. Maintain up-to-date lists of contact information for partner organizations, host government officials, diplomatic corps, and emergency services. Maintain and regularly distribute an updated internal contact list of Jhpiego staff. Coordinate the scheduling and booking of conference rooms. Maintain and manage subscriptions for newspapers and relevant library materials. Arrange courier (DHL and EMS) services and ensure timely dispatch and receipt. Prepare Internal Purchase Requests (IPR) for air tickets on a biweekly basis and submit them to the Director of HR and Operations. Provide operational support. Maintain confidentiality and professionalism in handling organizational and personnel information. Abilities/Skills Excellent communication and interpersonal skills to work in a multi-disciplinary team setup Flexible and willing to work under pressure Ability to prioritize Computer literacy and ability to use MS Word, Excel and Microsoft Outlook, and web based intranet platform Required Qualifications Diploma in Secretarial Sciences and Office Management or Bachelor’s Degree in related fields with 4 – 5 years’ experience or demonstrated equivalent combination. Proven progressive working experience in secretarial, receptionist and record keeping areas in iNGOs. Fluent in Speaking/Reading/Writing English and Amharic is required.
