This is a 12 – month position to commence as soon as possible with an end date of July 3, 2026, with the possibility to end earlier or extend past the anticipated end date. Executive Assistant to the Superintendent will be reporting to the Superintendent of Education.LOCATION: Guelph Board Office (500 Victoria Rd. N, Guelph, ON)HOURLY RATE: Base hourly rate: $32.72 to $39.90 per hour; wage rate effective September 1, 2025FTE/HOURS: 1.0 FTE (35 hours per week)BOARD INFORMATION: 12 months; temporary full-time; OCT UnionResponsibilitiesThis position will be responsible for performing administrative support for the Superintendent of Education, including but not limited to:Responding to both internal and external inquiries regarding elementary and secondary schools Communicate and coordinate regularly with Principals, Office Co-ordinators and board personnel from various departmentsProblem solving with respect to elementary and secondary school issues that ariseRespond promptly to inquiries and parental / guardian or school concerns by providing support, relevant information, or corresponding with appropriate persons or departments to find a solution. Having an awareness and understanding of school operations and the various elements that go into decision making, including relevant policies, processes, or protocols, with initiative to seek information that may be relevant or appropriate to a situation. Booking venues and scheduling speakers or/and coordinating events with attention to financial and time constraints Budget reconciliation and monitoringComposing correspondence and reportsEstablishing and maintaining a tracking and monitoring procedure for a variety of reportsOrganizing agendas and backup material, attending meetings and preparing minutes (*some meetings may be after hours meetings to accommodate parent / guardian schedules) Collaborate with and contribute to the Executive Assistant team in a flexible manner that supports priorities or needs as they arise.
