About the roleAs an administrative assistant joining our team, you will be required to support the professional staff of our firm in both the Australian and Manila offices.The main responsibilities of this role will include:Managing daily correspondence with clients and other external parties, including answering direct and forwarded callsHandling ASIC correspondence, applications, and ensuring timely lodgementsFormatting documents to ensure high quality and a professional final productAccurately completing client engagement templates and coordinating the establishment of client entitiesKeeping client files up to date and compliantScheduling meetings and managing Outlook calendars for managersPreparing and issuing invoicesPerforming basic data entry tasksCommunicating with Australian team members regarding administrative support needs, including weekly and monthly remindersAssisting with the scheduling of client meetings and visits as neededManaging and following up on requests for information from clients and third partiesPerforming ad-hoc administrative duties as required, taking initiative to assist when neededAbout the PersonYou're warm, honest and genuine and you enjoy being organized. You use your initiative to stay one step ahead when it comes to administrative tasks. You're comfortable communicating at all levels and you're authentic.Open to candidates with previous experience in an office administration/secretarial role. Previous accounting firm experience will be highly regardedStrong written and verbal English skills for communicating with our Australian and Filipino professional staffWilling to learn and be trained for Australian accounting firm administration tasksStrong organization skills, can manage time and multiple tasks effectivelyExcellent attention to detailProficiency in Microsoft Outlook, Word and ExcelA positive attitude, and the ability to work well under pressure, in a high performing teamWhat we can offerOur colleagues are committed, client-focused and enjoy a positive work-life harmony.
