Job Description

The Documentation and Transactions Specialist is responsible for ensuring the accuracy, completeness, and timely processing of various operational and transactional tasks. This role involves reviewing documentation, authorizing onboarding and trade-related requests, coordinating with internal and external stakeholders, and maintaining monitoring reports. The role also supports strategic collaboration, process improvement initiatives, and team workload balancing.Key Responsibilities:Core Operational TasksReview and validate documentation for completeness, accuracy, and compliance.Authorize onboarding requests and trade transactions in line with internal policies.Prepare and issue trade confirmations and certificates.Process vendor payments with proper documentation and approvals.Maintain and update various monitoring reports for operational tracking and audit purposes.Stakeholder EngagementCollaborate with requestors and business owners to clarify requirements and ensure timely processing.Serve as a liaison between internal teams and external partners for documentation and transaction-related matters.Strategic and Process ImprovementCollaborate with business owners on operational strategies to enhance efficiency and service delivery.Initiate and facilitate process improvements within the unit, identifying gaps and implementing solutions.Testing and Support ActivitiesParticipate in User Acceptance Testing (UAT) activities as required by the business or PB Operations.Provide support in testing new systems, enhancements, or process changes.Team Support and FlexibilityAssist in line balancing by supporting other team members during peak periods or resource gaps.Perform other duties and responsibilities that may be assigned by the supervisor to support team and business needs.QualificationsBachelor’s degree in Business Administration, Finance, or related fields.Minimum of 2.5 years of experience in bank / investment operations.Strong attention to detail and organizational skills.Excellent communication and coordination abilities.Proficiency in Microsoft Office Suite (Excel, Word, Outlook).Familiarity with investment operations and vendor management is preferred but not required.Preferred AttributesProactive and solution-oriented mindset.Ability to work independently and manage multiple tasks simultaneously.Strong analytical and problem-solving skills.Adaptability to changing priorities and operational demands.
