OCEANKING SA is currently seeking a highly organized, and dependable Administrative Assistant & Front Desk professional to join our team and support our daily operations, ensuring the smooth functioning of our office.Job Summary:As an Administrative Assistant & Front Desk Secretary, you will serve as the first point of contact for visitors and clients, while also handling a range of administrative tasks including support in event planning and business travel coordination. This position requires a high level of organization, attention to detail, and the ability to handle multiple projects simultaneously.Key Responsibilities:Greet and welcome visitors in a professional and friendly mannerAnswer and direct phone calls, emails, and other inquiriesMaintain a clean and organized front desk and reception areaManage scheduling, appointments, and meeting coordinationPerform general administrative duties such as filing, copying, scanning, and data entryReceive, sort, and distribute mail and packagesOrder and maintain office supplies and equipmentCoordinate and plan Business travels (e.g. tickets and accommodation booking, assist in collecting necessary travel documents)Assist in organizing corporate events, conferences and meetingsAssist various departments with administrative support as neededEnsure confidentiality and security of all office informationRequirementsHigh school diploma or equivalent; Bachelor's degree preferred2+ years of experience in a similar role Excellent verbal and written communication skillsStrong interpersonal skillsStrong organizational and multitasking skills with keen attention to detailProficiency in Microsoft Office Suite (Word, Excel, Outlook) and office equipment Ability to maintain confidentiality and handle sensitive information with discretionProblem-solving skills and ability to remain calm under pressureProfessional appearance and attitude
