Position Term: Permanent, Full TimeLevel: 4Salary: Min: $60,485 to Max: $67,205Location: Head Office, TorontoiGaming Ontario leads the Province of Ontario’s dynamic internet gaming (igaming) market that, in its third year, generated $83 billion in total wagers, a 31% increase over the previous year. This resulted in $3.2 billion in total gaming revenue from over 80 gaming sites. Even more, Ontario’s igaming market sustained almost 15,000 full-time equivalent jobs across the province. To achieve these results, iGaming Ontario is guided by its vision to Lead the World’s Best Gaming Market.iGaming Ontario is seeking an Administrative Assistant who is highly organized, detail oriented, and proactive in supporting the Executive Assistant, President and CEO, and day to day office operations.Reporting To The Executive Assistant, You Will Provide administrative support to the President & CEO, the management team, and various iGaming Ontario departments, including calendar coordination and meeting support. Oversee general office operations such as supply ordering, mail distribution, coordinating deliveries, and maintaining a clean and functional workspace. Act as the main point of contact with building management for facility and building related matters (e.g., access cards, service tickets, signage, and common area communications). Draft internal notices and workplace communications to ensure clear and consistent information to staff, visitors, and contractors. Assist the Executive Assistant with duties associated with all staff meetings and town halls, and record minutes when needed. Maintain office equipment and collaborate with vendors to resolve facility issues. Coordinate Purolator shipments for IT and HR, including Anti-Money Laundering document transfers. Monitor and manage incoming invoices, initiate approval workflows, maintain organized filing in SharePoint, support accounts payable tasks, and reconcile P Card and corporate credit card statements. Prepare Non-Disclosure and Confidentiality Agreements (NDA) and Letter of Agreements (LOA) in Docusign on behalf of iGaming Ontario Legal Counsel, and file and process completed documents accordingly. Assist with conference registrations, research tasks, and support Threat & Risk Assessment follow ups and action items.The Ideal Candidate Will Have A post secondary diploma in a related field and five years of administrative experience supporting senior executives or boards, or an equivalent combination of education and experience. Strong initiative, sound judgement, discretion, and tact when engaging with employees, stakeholders, and external partners. Excellent organizational skills with the ability to prioritize tasks, meet deadlines, and high attention to detail. Ability to maintain confidentiality and to work independently and as part of a team. Strong communication skills, both written and verbal, to facilitate information gathering, advise individuals of decisions or action, and to formulate correspondence. Extensive knowledge and experience using various software programs (i.e. MS Word, Excel, PowerPoint, Access, Outlook, MS Project, MS Visio and SharePoint). Knowledge of office equipment (e.g. Photocopiers, Scanners, and Teleconference equipment) Knowledge of MS Teams, Cisco WebEx, MS Lync and other remote communication tools. Ability to learn and operationalize iGaming Ontario’s policies and procedures related to expenses and travel.The posting for this position is for an existing vacancy.The successful candidate must be eligible to work in Canada and will be subject to a criminal background check.iGaming Ontario has implemented a minimum four-day per week in-office schedule and may implement a full return to office in 2026. The terms of iGaming Ontario’s Hybrid Work Policy are subject to change at any time, including its office location, the removal of the Hybrid Work Policy and a return to full-time in-office work.This position falls within the scope of a bargaining unit represented by the Ontario Public Service Employees Union (OPSEU).
